About The Role Skin Clique is seeking a dedicated Virtual Assistant (VA) to serve as an operational extension of its high-performing providers. This role is vital in streamlining administrative workflows, enhancing patient engagement, and ensuring the smooth functioning of practice operations. The VA will be responsible for supporting providers by managing scheduling, patient communication, data entry, and logistical planning for events and campaigns. The ideal candidate is proactive, resourceful, and thrives in a fast-paced, startup-style environment where adaptability and initiative are highly valued. This role offers the opportunity to work remotely within the United States, primarily within the Eastern or Central Time Zones, and plays a crucial part in fostering practice growth and delivering excellent patient experiences.

Qualifications

• Previous experience as a virtual assistant or administrative support in a fast-paced environment
• Exceptional organizational and time-management skills
• Strong written and verbal communication abilities
• Ability to manage multiple priorities and providers simultaneously
• Attention to detail and commitment to accuracy
• Self-starter with problem-solving skills and a proactive attitude
• Reliable home workspace with high-speed internet connection
• Availability Monday through Friday, 9:00 AM to 5:00 PM ET
• Located within the United States, preferably in the Eastern or Central Time Zones
• Experience with EMRs (preferably Zenoti), scheduling tools, CRMs, Trello, or social media platforms is a plus
• Background in medical, healthcare, aesthetics, or wellness fields is advantageous but not mandatory

Responsibilities

• Pre-chart patient appointments thoroughly and accurately to ensure providers are prepared for each visit
• Promptly acknowledge provider requests, complete tasks on time, and proactively update task statuses in Trello
• Review all work before communicating with patients or sending reports, aiming for zero avoidable errors
• Manage provider inboxes and calendars, including scheduling, follow-ups, and virtual consultations
• Support patient communication workflows such as appointment reminders, reorder messages, and post-treatment check-ins
• Maintain accurate data entry in EMR systems (Zenoti) and other Skin Clique platforms
• Assist with planning and logistics for virtual and in-person events, including skincare education sessions and tox events
• Create and manage patient lists, lead trackers, and engagement logs as directed by providers
• Track engagement metrics and campaign performance using prebuilt reporting templates
• Identify local collaboration opportunities to support practice expansion and visibility
• Support operational tasks such as order tracking, inventory management, and reorders for consumables and marketing materials
• Prepare monthly performance reports summarizing activity and outcomes
• Collaborate with the Skin Clique team to address scheduling, billing, and system-related questions
• Ensure all communications and documentation remain compliant with confidentiality standards
