Advertised Job Summary: The Division of Marketing at the University of South Carolina is seeking a Project & Traffic Manager that manages key projects and initiatives associated with the USC Division of Marketing and other key academic and administrative units within the university. The manager has a passion for workflow products, tools, and tactics that assist in streamlining projects across the division. The manager ensures team members are informed and have the tools they need to deliver projects on time and on budget. The manager exhibits a creative curiosity and has a commitment to life-long learning and professional development. The manager is accountable for timely and clear communications, surfacing potential issues, ensuring stakeholder awareness and fostering collaboration across teams. This individual brings energy, enthusiasm and a collaborative spirit to work collaboratively across the university.
Job Related Minimum Required Education And Experience: Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred Qualifications: PMP certification and 4 years project management experience
Knowledge/Skills/Abilities:
- Organized, detail-oriented, self-starter skills with professional presence.
- Ability to adapt to new technology including production management and team collaboration software.
- Proficiency in project management tools is a must. Experience in Basecamp and Lytho is a bonus, but not mandatory.
- Proficient in Excel, Word, Outlook and PPT.
- Verbal communication skills and an open, collaborative approach are necessary for success in this role.
- Ability to define problems first, then solve them through strategic thought and planning.
- Proven ability to meet deadlines and the ability to work in a rapid-response, team environment.
Job Duty: Workflow/Project Management —
- Receive job requests, open projects in the division’s workflow systems, and create project timelines with milestones and deadlines across the division– including design, social media, etc.
- Maintain yearly project and content calendar, including all events, contests, recurring publications (e.g., magazines, minizines), and special events (e.g., campaigns, groundbreakings). Work with Director of Audience Engagement and Sr. Associate Directors to ensure content calendar deliverables are clear and time bound.
- Maintain tracker of jobs as they move through creative, copy, design, legal, and production, ensuring deadlines are met.
- Provide regular status reports on all active jobs to leadership and/or units; including alerting to dependencies and risks if they are not met.
- Negotiate deadlines and reprioritize schedules when urgent projects or delays arise, while understanding impact of dependencies and communicating impact on full schedule
- Ensure projects follow established workflows, including proofing cycles, versioning, and approvals.
- Work with Administrative Coordinator during vendor communication process (includes but is not limited to visiting vendor sites, vendor budget review, etc.)

Job Duty: Resource & Team Coordination —
- Working with Sr. Associate Director(s), assign projects to copywriters, designers, videographers, photographers and/or other team members as required, balancing workloads across the division.
- Act as central liaison between account managers, creative teams, and production vendors to ensure alignment.
- Help onboard staff to traffic processes and recommend workflow/procedure improvements.

Job Duty: Project Execution & Quality Control —
- Archive completed projects with all required documentation (final PDF, costs, vendor details, specifications).
- Secure vendor estimates and manage bidding processes when needed. (In collaboration with Administrative Coordinator or Director of Operations)
- Partner with the Sr. Associate Director(s) to meet with clients at project kickoff, gathering scope, deliverables, budgets, and production requirements.
- Monitor project budgets and team hours against estimates to flag potential overages.
- With AVP, Director or Sr. Associate Director(s), ensure projects meet objectives and ladder up to the USC brand platform.

Job Duty: Special Projects —
- Manage the President’s Holiday Card contest in coordination with the President’s Office.
- Other special projects as assigned.

Job Duty: Systems & Administration —
- Maintain and administer project management/traffic systems (e.g., Lytho, Basecamp).
- Document and track project processes to support reporting and process improvements.
