The Role

We’re looking for a detail-driven Project Coordinator to join our Philadelphia team full-time. In this role, you’ll support Project Managers in organizing and executing projects from concept through installation—helping translate creative briefs into clear timelines, task lists, and deliverables. You’ll manage schedules, budgets, and documentation to keep projects moving smoothly, while collaborating closely with our design, fabrication, and creative technology teams. A familiarity with fabrication processes or production workflows is a plus, but a passion for learning how ideas become physical experiences is essential. This position is on-site, five days a week.

Key Responsibilities

  • Project Coordination: Support Project Managers with scheduling, budgeting, logistics, and daily coordination across multiple design and fabrication projects.
  • Communication: Serve as a key connector between project management, design, and fabrication teams—facilitating clear, timely updates to keep everyone aligned.
  • Documentation: Maintain project trackers, purchase orders, change orders, and meeting notes to ensure all details are accurate and organized.
  • Scheduling: Assist in planning and coordinating production timelines, vendor deliveries, and installation dates to keep projects on track.
  • Fabrication Support: Partner with internal teams to confirm materials, finishes, and build requirements, tracking progress through the shop and with external partners.
  • Vendor Coordination: Communicate with vendors, suppliers, and installers to ensure quality standards and deadlines are met.
  • Quality Control: Review drawings, material specs, and production documentation for accuracy prior to fabrication and installation.
  • Field Support: Provide occasional on-site assistance during installations or deinstalls as needed.
  • Process Improvement: Contribute ideas that streamline workflows and strengthen internal systems for smoother project execution.

Qualifications

  • 1–3 years of experience in project coordination is a must. Background in fabrication, production, or experiential design is a huge plus.
  • Some familiarity with fabrication processes, materials, and production workflows, with a willingness to deepen knowledge across wood, metal, scenic, and digital disciplines, is desired.
  • Exceptional organization and communication skills with sharp attention to detail.
  • Proficiency in Google Workspace and project management platforms (ClickUp, Asana, Monday, or similar). Proficiency with Appsheet is also a plus.
  • Ability to thrive in a fast-paced, hands-on, collaborative environment.
