++Role Description++

We’re looking for an exceptionally organized, systems-driven Operations Manager to bring structure, clarity, and operational discipline to a rapidly growing company.

This is a hands-on, execution-first role. You’ll work directly with the founder as a close operational partner, translating priorities, ideas, and problems into concrete action — and then into systems that stick.

You’ll execute a wide range of practical, day-to-day operational tasks: researching tools and vendors, coordinating logistics, supporting projects, managing internal requests, and solving whatever operational problems are in front of the team. As you do that work, you’ll be expected to create structure around it — documenting processes, building workflows, and developing low-code/no-code tools so that one-off work becomes repeatable, scalable, and easier over time.

This role would be better described as “Chief of Getting Sh*t Done.” And while the title is Operations Manager, the spirit of the role is exactly that: ownership, follow-through, and making sure important things actually happen.

You’ll confront “oh sh*t” moments with clarity, identify and execute no-nonsense internal process improvements , and cut through bullsh*t to focus the organization on what actually helps us expand the frontier of our mission.

If you love doing real work and building the systems that make that work better, this role is for you.

++What you’ll do++

Hands-on Execution + System Building (Core Responsibility)

  • Execute a wide range of practical operational and administrative tasks across the business
  • Treat real operational work as raw material for building better systems
  • Design, document, and implement workflows and standard operating procedures as you execute
  • Build lightweight internal tools and low-code/no-code solutions to support recurring work
  • Turn ad-hoc tasks into clear, documented, repeatable processes

Internal Operations & Administration

  • Own day-to-day internal operations and administrative workflows
  • Research, evaluate, and manage vendors and tools (e.g. VOIP systems, software platforms, office services)
  • Manage internal requests, logistics, and operational follow-ups
  • Act as the “hub” that keeps internal work moving smoothly

Tooling, Automation & Documentation

  • Build and maintain internal documentation (e.g. Notion, SOPs, playbooks, process maps)
  • Improve workflows using low code tools like SmartSuite, Airtable, Zapier, Make, etc.
  • Reduce manual work and operational friction across teams
  • Ensure systems are actually used, maintained, and improved over time

Special Projects

  • Work directly with the founder to execute on internal priorities
  • Own follow-through on internal initiatives and special projects
  • Plan and coordinate in-person team events
  • Source, interview, hire, and manage freelancers and contractors as needed
  • Support cross-functional projects as needed

++How we work++

  • We default to clarity

Clear ownership, documented processes, and explicit expectations matter.

  • We build systems, then follow them

Improving processes is encouraged; ignoring them is not.

  • We bias toward action and iteration

We implement strong 80% solutions and improve them over time.

  • We communicate directly and respectfully

Issues are addressed early, feedback is clear, and problems don’t linger.

  • We respect focus and follow-through

Meetings are intentional, tools have a purpose, and work gets finished.

  • We support autonomy with accountability

Independence comes with ownership and responsibility for outcomes.

++Our Values++

Order beats chaos

Structure creates better outcomes and less stress.

Ownership over permission

See a problem, fix it.

Discipline creates freedom

Strong systems enable speed and creativity.

Galaxy Brain Thinking

We believe strong problem-solving comes from connecting dots across disciplines. The best answers often come from borrowing concepts, tools, or workflows from entirely different contexts and applying them thoughtfully to the problem at hand.

Documentation is leverage

If it isn’t documented, it isn’t done.

High standards, low ego

We care deeply about quality and continuous improvement.

Practical, not precious

Simple, effective solutions win.

Give a Sh*t

When you’re given the opportunity to do something well, you owe it to yourself, the people who came before you, and the people you work with to genuinely try. We care about outcomes, take pride in our work, and don’t phone it in.

++You’re a great fit if you…++

  • Are insanely organized and take pride in clean systems
  • Enjoy executing real work and building processes around it
  • Naturally document things and hate tribal knowledge
  • Are comfortable enforcing structure and holding people accountable
  • Can operate independently in ambiguity and create order from it
  • Are proactive, detail-oriented, and reliable to a fault

++Experience & Skills++

  • 5–10+ years experience in operations, internal ops, program management, or similar roles
  • Experience in startups, professional services, or fast-moving environments
  • Strong experience with documentation and workflow tools (e.g. Notion, SmartSuite, Airtable)
  • Comfort building low-code / no-code workflows and automations
  • Excellent written and verbal communication skills
  • High judgment, strong follow-through, and a bias toward action

++Who should NOT Apply++

This role is not a fit if:

  • You prefer clearly defined tasks and rely on others to provide processes you follow
  • You prefer delegating work rather than executing it yourself
  • You dislike documentation or see it as “extra work”
  • You are not intellectually curious and lack interest in developing your skills
  • You want a narrow, single-lane role (only admin, only coordination, etc.)
  • You need constant direction or close supervision
  • You’re looking for a traditional office manager or executive assistant role

Why this role matters

Great missions fail without great operations. This role ensures that doesn’t happen here. Your work will allow for us to continue the rapid expansion we have recently seen, expand the frontier of how we are able to deliver value to the organizations we are privileged to serve and drive real results.

If our work and this role resonate with you, and you feel you could bring unique insight and meaningful contributions, we’d love to talk. We can’t do it alone, and we hope you’ll come along with us.
