About the Role

We are seeking a highly reliable, organized, and proactive Operations & Administrative Coordinator to support our growing team across administrative, operational, and project-based needs. This is a hands-on role ideal for someone who enjoys creating structure, staying organized, and helping a fast-moving business run smoothly.

The role requires someone adaptable, detail-oriented, and comfortable supporting both office-based responsibilities and day-to-day operational needs across studio locations.

Key Responsibilities

  • Provide day-to-day administrative and operational support to the leadership team
  • Coordinate schedules, meetings, calendars, and follow-ups across projects
  • Help track deadlines, action items, and ensure tasks are completed on time
  • Assist with document preparation, data organization, reporting, and maintaining organized records
  • Support internal communication and help coordinate day-to-day operational needs across teams
  • Travel between studio locations as needed to support operations, check in with team members, assist with coordination, and help ensure projects and day-to-day tasks are running smoothly
  • Run occasional local errands and support light operational tasks as needed
  • Assist with organizing supplies, preparing materials, and supporting studio operational needs
  • Support special projects and evolving business needs in a fast-paced environment

Qualifications

  • Previous administrative, operations, or office support experience preferred
  • Highly organized with strong attention to detail
  • Reliable, punctual, and able to manage time independently
  • Strong communication and follow-through skills
  • Comfortable handling a mix of office, operational, and light physical tasks
  • Proactive, resourceful, and willing to take initiative
  • Positive, team-oriented mindset with a “no task too small” attitude

Additional Requirements

  • Comfortable commuting within Manhattan using the subway system
  • Able to travel between studio locations throughout the workday as needed
  • Flexible and adaptable to changing priorities in a small team environment
