Marketing Coordinator / Receptionist
Role Description
The Marketing Coordinator/ Receptionist greets and directs guests in support of the site operations. The Marketing Coordinator/ Receptionist also provides administrative support, including answering phone calls, delivering messages to employees, creating and posting directional signage, registering expected guests in the visitor management system, preparing materials for events, and other duties as assigned. This is a temporary position currently approved through December 2026 with the possibility to extend.
Duties & Responsibilities
- Answer incoming calls, screen, and deliver messages to appropriate recipients.
- Provide accurate and courteous information to callers with general inquiries.
- Greet all guests entering the property in a friendly and professional manner.
- Contact visitors’ hosts and direct them to their designated destinations within the facility.
- Professionally communicate to employees and visitors that certain areas of the building are for customers only and cannot be entered.
- Collaborate with the Security team to check guests in and out within the visitor management system and follow Security protocols.
- Provide general administrative support as needed, including pre-registering expected guests accurately, preparing documents, signage, and event materials.
- Ensure daily reception area readiness and maintain cleanliness and organization.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent.
- Minimum of 2 years of experience in an administrative or customer service role.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Attention to detail and accuracy in work.
- Capable of working independently or as part of a team.
- Flexibility with working hours to accommodate events.
- Punctuality and professional personal presentation.
