Position Summary

The Listing Manager is a cornerstone role in our operations team—responsible for managing the entire lifecycle of every listing, from client onboarding and home preparation through the MLS launch, active marketing, and closing coordination.

This is a role for a professional who thrives on operational excellence, precision, and consistency. The ideal candidate is proactive, exceptionally organized, tech-savvy, and committed to delivering an elevated client experience. You’ll collaborate closely with agents, operations, marketing, and vendors to ensure every listing is handled with care, launched on schedule, and positioned to perform at its best.

Key Responsibilities Client Relationship Management

  • Serve as the primary point of contact for sellers from the signed agreement through closing.

  • Guide clients through the listing journey—setting expectations, providing regular updates, and maintaining transparent communication.

  • Anticipate client needs and resolve issues quickly to maintain confidence and satisfaction.

  • Ensure every homeowner feels supported, informed, and cared for at each step.

Pre-Listing Coordination

  • Prepare and maintain co mplete property files for new listings, verifying all key property details (e.g., easements, permits, HOA documents).

  • Manage all data in internal systems and CRMs to ensure accuracy and accessibility.

  • Coordinate listing appointments, staging consultations, photography, and vendor scheduling.

  • Partner with the operations and marketing teams to ensure all pre-listing materials and documents are complete and compliant.

House Preparation & Launch

  • Oversee vendor coordination for cleaning, staging, floor plans, photography, and any prep work needed.

  • Confirm readiness for market launch by ensuring all marketing assets and legal documentation are finalized.

  • Maintain a high standard of presentation, ensuring listings reflect The Muncey Group’s brand and quality.

MLS & Listing Management

  • Prepare and input all listing data in MLS PIN, Compass, and other marketing platforms, ensuring accuracy in every detail (room sizes, disclosures, commissions, etc.).

  • Audit listing files for compliance with real estate laws and internal standards.

  • Monitor listings post-launch, ensuring timely updates, price adjustments, and marketing refreshes as needed.

  • Support open house preparation and communication with sellers to ensure seamless execution.

Offer & Transaction Support

  • Track and organize incoming offers, coordinating with agents to communicate clearly and maintain documentation.

  • Partner with transaction coordinators to ensure contract compliance, timelines, and file completion.

  • Support the closing process by preparing required materials and confirming all details are aligned for a smooth handoff.

Post-Listing Follow-Up

  • Coordinate closing gifts and client appreciation touchpoints.

  • Request and share client testimonials, collaborating with marketing for publication and promotion.

  • Assign and manage post-closing action plans in the CRM to ensure client engagement and referral cultivation.

Process, Quality Control & Team Collaboration

  • Maintain and improve checklists, timelines, and workflows to ensure consistency and excellence.

  • Participate in team meetings to align on goals, processes, and updates from the listing side.

  • Cross-train with operations and marketing to maintain flexibility and continuity across the team.

  • Support team events and marketing initiatives with a polished, professional presence.

  • Identify process improvements, document updates, and efficiency gains in collaboration with leadership.

Qualifications Education & Experience

  • Bachelor’s degree in Business, Real Estate, or a related field (or equivalent experience).

  • Minimum 3 years of experience in a client-facing administrative or operations role.

  • Prior experience in real estate listings, marketing coordination, or transaction management is highly preferred.

  • Familiarity with MLS PIN, E-Sign and Google Workspace required.

  • Knowledge of Massachusetts real estate regulations and compliance best practices.
