About the Role

The Facility Coordinator will serve as the primary contact for one or more customers within the Managed Services department. This role is essential for ensuring customers achieve their desired outcomes while using the organization’s platform. The Facility Coordinator supports customers with professionalism and expertise, addressing facility management needs, fostering strong relationships, and enhancing overall customer satisfaction and retention.

Responsibilities

  • Promptly resolve customer issues to maintain satisfaction and service continuity
  • Build and maintain strong customer relationships to support loyalty and engagement
  • Anticipate and address customer needs proactively to prevent escalation
  • Monitor customer usage and satisfaction metrics to maximize value from the platform
  • Share best practices with customers and providers regarding platform applications
  • Identify and report system issues to the Development Team for resolution
  • Review work orders for cost-saving opportunities related to asset or equipment repairs
  • Assist with customer-facing initiatives and special projects as needed
  • Monitor emergency work orders to ensure timely communication and resolution
  • Conduct quarterly business review presentations with customers
  • Hold regular operations meetings with customers to review activities and address concerns
  • Collaborate with cross-functional teams to support internal and external initiatives

Requirements

  • 1-2 years experience in facilities work order management within Restaurant, Hospitality, Medical/Veterinary, or Retail sectors
  • Strong knowledge of facilities management and customer success best practices
  • Proven ability to manage customer relationships and ensure high satisfaction
  • Proficiency in Microsoft Excel and PowerPoint
  • Excellent verbal and written English communication skills
  • Demonstrated ability to build positive relationships with customers, providers, and team members
  • High attention to detail and accuracy
  • Analytical skills to identify cost-saving opportunities and improve processes
  • Coachable and adaptable to feedback and process updates
  • Ability to work independently from home with strong attendance and punctuality
  • Exceptional organizational and time management skills
  • Flexible schedule starting at 8 AM EST, with occasional evening or weekend coverage for special projects and emergencies
  • Comfortable participating in remote meetings on camera
  • Bachelor’s degree in business administration, facilities management, customer service, or related field

Nice to Have

  • Experience with facilities management software and CRM tools such as Salesforce or Gainsight
