About The Role The Executive Assistant (VP Support) plays a vital role in enabling the effective functioning of senior leadership by providing strategic administrative support to three Vice Presidents. This role involves managing complex calendars, coordinating high-level meetings, preparing executive correspondence, and supporting key initiatives and projects. The Executive Assistant acts as a trusted partner, exercising discretion and sound judgment in handling sensitive information and resolving issues efficiently. The position requires a proactive approach, excellent communication skills, and the ability to prioritize in a fast-paced, dynamic environment. The successful candidate will be a highly organized professional who can anticipate needs, exercise initiative, and foster positive relationships with internal and external stakeholders to ensure seamless operations.
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Five or more years of experience supporting executive or senior leadership roles, including multi-leader support preferred
- Corporate HR experience strongly preferred
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
- Strong organizational and time-management skills
- Ability to handle confidential information with discretion and professionalism
- Proven problem-solving and decision-making abilities
- Experience in coordinating meetings, logistics, and stakeholder engagement
Responsibilities
- Provide high-level administrative support to three Vice Presidents, managing complex and multi-faceted calendars
- Handle sensitive and confidential information with absolute discretion and professionalism
- Prepare agendas, briefing materials, reports, presentations, and follow-up documentation for meetings
- Coordinate logistics for meetings and organizational events, including travel arrangements and technology setup
- Support the preparation and editing of executive correspondence and reports to ensure clarity and alignment with leadership’s intent
- Document meeting decisions, track action items, and monitor progress to ensure timely completion
- Assist in managing stakeholder communications, addressing inquiries, and routing issues appropriately
- Support organizational initiatives by coordinating stakeholders, tracking milestones, and ensuring follow-through
- Gather, analyze, and summarize data to support decision-making and reporting
- Navigate organizational structures to resolve issues efficiently and advance priorities
- Maintain and update departmental systems and best-practice guidance on document management
- Engage in ongoing professional development to stay current with relevant technology, regulations, and industry best practices
