About The Role TurbineOne is seeking a highly organized and proactive Executive Assistant / Personal Assistant to support our Chief Technology Officer (CTO) and Chief Product Officer (CPO). This role is integral to enabling executive leadership to operate at peak efficiency by managing complex schedules, facilitating communication, and handling both professional and personal logistics. The ideal candidate will thrive in a fast-moving startup environment, demonstrating exceptional judgment, discretion, and independence. This position offers the flexibility of remote work within the U.S. and requires someone who can anticipate needs, coordinate multifaceted priorities, and act as a trusted partner to our executive team. The role combines traditional executive support functions with personal assistance, ensuring seamless execution of daily responsibilities and strategic initiatives.
Qualifications
- 5+ years of experience supporting senior executives, such as an Executive Assistant, Personal Assistant, or Chief of Staff
- Exceptional organizational skills and meticulous attention to detail
- Strong written and verbal communication abilities
- High level of professionalism, discretion, and integrity
- Ability to manage competing priorities and adapt quickly to changing circumstances
- Proficiency with modern productivity tools including Google Workspace, Slack, calendar management, and expense tracking software
- Comfort working independently in a fast-paced, startup environment
- Experience supporting executives in defense, government, technology, or high-growth startup sectors (preferred)
- Experience managing both professional and personal responsibilities for senior leaders (preferred)
- Familiarity with government or military environments (preferred)
- Experience working in startup, investor-facing, or board-facing environments (preferred)
Responsibilities
- Manage complex, high-volume calendars across multiple time zones, proactively resolving conflicts and prioritizing engagements
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and contingency planning
- Prepare executives for meetings by organizing agendas, briefing materials, action items, and follow-up tasks
- Serve as a primary liaison between executives and internal teams, external partners, advisors, and stakeholders
- Handle highly sensitive, confidential, and time-critical information with discretion and sound judgment
- Manage select personal logistics for executives, including scheduling, travel planning, and personal appointments
- Support family or life-related coordination, such as school arrangements, special events, and managing overlaps between personal and professional travel
- Draft, organize, and manage correspondence, documents, and presentations for various audiences
- Track commitments, deadlines, and deliverables across professional and personal domains to ensure timely execution
- Assist with expense reporting, reconciliation, and light budget tracking as needed
- Coordinate logistics for meetings, offsites, dinners, and small events, including venue selection, vendor management, and material preparation
- Support company operations, including partnerships, fundraising efforts, and board engagement activities
- Assist with logistics related to company facilities, internal events, and executive offsites
