About The Role We are seeking a highly organized and proactive Executive Assistant / Personal Assistant to support our Chief Technology Officer (CTO) and Chief Product Officer (CPO). This role is integral to enabling executive efficiency and effectiveness, blending traditional executive support with personal assistance. The successful candidate will serve as a trusted partner, managing complex schedules, coordinating travel, handling sensitive information, and supporting both professional and personal needs of our senior leadership. This position offers the flexibility of remote work within the U.S., requiring a high degree of independence, sound judgment, and professionalism. The role is ideal for individuals who thrive in dynamic, fast-moving environments and are committed to operational excellence at the executive level.
Qualifications
- 5+ years of experience supporting senior executives in roles such as Executive Assistant, Personal Assistant, or Chief of Staff
- Exceptional organizational skills with keen attention to detail
- Strong written and verbal communication abilities
- High level of professionalism, discretion, and integrity
- Ability to manage multiple priorities, anticipate needs, and adapt quickly to changing circumstances
- Proficiency with modern productivity tools including Google Workspace, Slack, calendar management, and expense tracking software
- Experience working independently in a fast-paced environment
- Preferred: Experience supporting executives in defense, government, technology, or high-growth startup environments
- Preferred: Familiarity with military or government operational environments
- Preferred: Experience managing both professional and personal responsibilities for senior leaders
Responsibilities
- Manage complex, high-volume calendars across multiple time zones, proactively resolving conflicts and prioritizing commitments
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and contingency planning
- Prepare executives for meetings by organizing agendas, briefing materials, and follow-up actions
- Act as a primary liaison between executives and internal teams, external partners, advisors, and stakeholders
- Handle highly sensitive and confidential information with utmost discretion and sound judgment
- Support personal logistics such as scheduling personal appointments, travel planning, and family-related coordination
- Assist with personal and life-adjacent tasks, including managing overlapping personal and business commitments
- Draft, organize, and manage correspondence, reports, presentations, and other documentation
- Track deadlines, commitments, and deliverables across professional and personal domains
- Support expense reporting, budget tracking, and reconciliation processes
- Coordinate logistics for meetings, offsites, events, and vendor engagements
- Assist in operational activities related to company partnerships, fundraising, and board interactions
- Support travel logistics between key locations such as the Bay Area, East Coast, and client sites
- Contribute to the organization of internal events, company offsites, and facilities management
- Adapt to a startup environment with evolving priorities, demonstrating flexibility and proactive problem-solving
