About The Role The Executive Assistant will play a vital role in supporting two Senior Vice Presidents (SVPs) by managing complex administrative functions that optimize their productivity and effectiveness. This position requires a highly organized, proactive, and discreet professional capable of handling a variety of tasks including managing calendars, preparing reports, coordinating meetings, and acting as a primary point of contact for internal and external stakeholders. The role involves dealing with sensitive and confidential information, requiring the utmost discretion and professionalism. The Executive Assistant will also assist with organizing events, preparing briefing materials, and supporting ongoing projects, ensuring smooth communication and operational efficiency within the department. This role is based in Virginia Beach, VA, and supports the organization’s commitment to excellence in healthcare administration.
Qualifications
- High school diploma or equivalent
- Three or more years of experience as an Executive Assistant or in a similar administrative role
- Excellent written and verbal communication skills
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time-management skills
- Ability to handle sensitive information with discretion
- Exceptional problem-solving and prioritization abilities
- Experience coordinating complex calendars and scheduling
- Ability to prepare reports, correspondence, and meeting agendas
- Familiarity with organizational policies, procedures, and regulatory compliance
- Ability to develop and maintain professional relationships internally and externally
- Commitment to ongoing professional development and learning
Responsibilities
- Exercise independent judgment to prioritize tasks and manage stakeholder communications effectively
- Handle highly confidential and sensitive information with the utmost discretion
- Manage complex, multi-leader calendars, balancing competing priorities and strategic objectives
- Protect executive time by triaging meeting requests and aligning schedules accordingly
- Prepare agendas, briefing materials, and decision-making documents for leadership meetings
- Navigate complex organizational structures to facilitate workflow and project progression
- Draft, review, and distribute tailored correspondence, reports, and meeting minutes for approval
- Support the creation and maintenance of complex documents, databases, and departmental systems
- Coordinate logistics for events, including venue arrangements, equipment, catering, accommodations, and travel
- Identify and escalate instances of non-compliance with organizational policies or regulatory standards
- Respond promptly to inquiries via phone, email, or in person, directing complex issues to appropriate colleagues
- Initiate and maintain effective communication with internal teams and external partners
- Assist with gathering and summarizing data for reports and presentations
- Maintain an understanding of relevant technology, industry standards, and best practices through ongoing education
- Support continuous improvement initiatives within administrative processes
