About The Role The Executive Assistant at Protect Life Michigan plays a vital role in supporting the organization’s leadership, primarily focusing on assisting the Executive Director with daily operational needs. This position requires a highly organized individual with exceptional attention to detail, capable of managing multiple priorities efficiently. The Executive Assistant will handle scheduling, prepare meeting materials, coordinate travel arrangements, and manage confidential information with professionalism. This role is essential in ensuring the smooth functioning of the executive team, facilitating communication across departments, and supporting various projects and initiatives. The position is part-time, requiring approximately 21-25 hours per week, and is remote within Michigan. Candidates must be supportive of the organization’s mission and be willing to participate in a support-raising model, which involves fundraising efforts to cover salary and ministry expenses. The role offers an opportunity to contribute meaningfully to a cause that seeks to protect life and promote pro-life values through strategic administrative support.

Qualifications

  • Commitment to the pro-life movement and the mission of Protect Life Michigan
  • Excellent organizational and time management skills
  • Ability to follow detailed instructions and manage multiple tasks independently
  • Exceptional oral and written communication skills
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and general administrative experience
  • Ability to build productive relationships with supporters, community members, and stakeholders
  • Strong interpersonal skills and professionalism
  • Experience with CRM systems and data management preferred
  • Reside within Michigan and be able to work remotely
  • Willingness to participate in support-raising efforts and training

Responsibilities

  • Provide comprehensive administrative support to the Executive Director, including managing calendars, inboxes, and prioritizing requests
  • Prepare and organize meeting notes, agendas, and briefing materials for board and stakeholder meetings
  • Handle confidential documentation and correspondence with professionalism
  • Coordinate travel arrangements for organizational events and meetings
  • Assist in assembling weekly contact lists for outreach efforts such as calls, texts, and handwritten notes
  • Manage procurement processes, including purchasing supplies and logging receipts
  • Screen incoming calls, emails, and inquiries, responding or redirecting as appropriate
  • Review and monitor contracts and agreements
  • Follow up on action items resulting from meetings and organizational projects
  • Schedule meetings, set reminders, and maintain task tracking systems
  • Log interactions and notes within the organization’s CRM system
  • Prepare mailing lists, email campaigns, donation summaries, and related data reports
  • Assist in drafting, proofreading, and distributing communications and updates
  • Monitor project statuses and collaborate with various departments to ensure timely progress
  • Support other organizational projects and administrative tasks as needed
