Data Management Specialist
Requirements
Must have:
– Diploma or degree in Information Management, Records Management, Data Science, GIS, or a related field – 3–5 years of progressive experience in data management, records management, archives, or data governance – Experience working with First Nations communities or Indigenous organizations is a strong asset – Knowledge of Indigenous Data Sovereignty frameworks (OCAP®, CARE, UNDRIP) is a strong asset – Experience managing projects and supervising staff or contractors – Proficiency with data and document management tools (e.g., SharePoint, Access, ArcGIS, Airtable, SQL, or similar) – Strong Microsoft Office skills, particularly in Excel and data organization – Experience with digitization, scanning, and cloud storage systems – Understanding of cybersecurity, data backup, and privacy practices – High attention to detail and commitment to data accuracy – Strong organizational, documentation, and problem-solving skills – Ability to communicate technical concepts clearly to non-technical audiences – Culturally respectful approach and understanding of Indigenous knowledge protocols – Ability to build trusting relationships with Elders, leadership, and community members – High level of professionalism, discretion, and ability to handle sensitive information confidentially – Must possess a valid Class 5 BC Drivers license and a reliable vehicle – Willing to travel to remote communities as required – Willing to work flexible hours, including weekends
Responsibilities:
- Supervise data and information technology staff, contractors, and associated projects – Oversee data-related contracts and partnership agreements – Provide leadership in planning, prioritizing, and implementing data initiatives – Develop, maintain, and enhance secure data and records management systems for land and title records, heritage materials, GIS data, membership records, and governance documents – Establish and uphold metadata standards, naming conventions, file retention schedules, and disposal protocols – Ensure reliable data backups and secure storage systems – Conduct data quality control, indexing, digitization, and file conversion for various formats – Lead the formulation of data governance and records management policies – Ensure responsible handling of sensitive cultural, land, and membership data – Adhere to Indigenous Data Sovereignty frameworks and ensure compliance with privacy legislation – Develop and manage tiered access permissions for staff, leadership, Elders, and external partners – Support ethical protocols for sacred, ceremonial, or restricted knowledge – Provide training and support for staff, Elders, and youth on data and records management best practices – Assist in community-led digitization and documentation projects – Create user-friendly guides and resources for community utilization of data systems – Collaborate closely with Lands, Heritage, Governance, Education, and IT teams – Aid in grant applications and reporting related to data infrastructure and digitization – Work alongside Elders, historians, archaeologists, and knowledge keepers to ensure cultural accuracy and integrity
