About The Role The Data Entry Assistant role at Orvix Engineering is a vital position designed for detail-oriented and organized individuals who excel at managing large volumes of data efficiently. This remote position is specifically available to candidates located within the United States. As a key member of our operations team, the Data Entry Assistant will be responsible for accurately inputting, updating, and maintaining data across various internal systems, databases, and spreadsheets. The role requires a high level of accuracy, confidentiality, and organizational skills to ensure that our data remains reliable and accessible for decision-making and operational purposes.

This position offers an excellent opportunity for individuals seeking to develop their administrative and data management skills within a professional engineering environment. The successful candidate will work closely with multiple departments, supporting daily business activities and ensuring data integrity. Qualifications

  • High school diploma or equivalent required; associate degree or higher in a related field preferred.
  • Proven experience in data entry, administrative support, or similar roles, preferably in an engineering or technical environment.
  • Strong attention to detail with the ability to identify errors or inconsistencies in large datasets.
  • Excellent organizational and time-management skills, capable of prioritizing tasks effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and data entry software; familiarity with CRM systems or project management tools is a plus.
  • Knowledge of data management and database software such as Microsoft Access, Google Sheets, or similar tools.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Knowledge of engineering terminology and data processes is advantageous but not mandatory.

Responsibilities

  • Accurately enter and update data into internal systems, ensuring completeness and correctness.
  • Cross-check data for accuracy, identifying discrepancies or errors, and making necessary corrections.
  • Organize, categorize, and maintain electronic and paper records to facilitate easy retrieval and compliance with policies.
  • Assist in generating routine and ad-hoc reports by compiling data from multiple sources.
  • Regularly clean and update data to maintain integrity, removing outdated or inaccurate records.
  • Support data integration from different platforms, ensuring consistency across systems.
  • Collaborate with the Data Manager to monitor and maintain database health and effectiveness.
  • Coordinate with departments such as engineering, finance, and project management to ensure data aligns with operational needs.
  • Maintain digital files in an organized manner in accordance with company policies and compliance standards.
  • Ensure the confidentiality and security of sensitive data in adherence to legal and company policies.
  • Perform routine audits and checks to verify data accuracy and completeness.
  • Provide administrative support, including preparing documents, reports, and communication materials.
