About The Role We are seeking a detail-oriented and organized Medical Review Administrative Coordinator to join our Medical Review Services department. This remote position offers an excellent opportunity for individuals with healthcare administrative experience to contribute to vital case management functions. The role involves supporting case intake, conversion, assignment, and review processes, ensuring smooth workflow and timely completion of cases. The successful candidate will be responsible for handling documentation, coordinating with healthcare professionals, and maintaining accurate records within our document management systems. This position is ideal for candidates who are proficient in administrative tasks, possess strong communication skills, and are comfortable working independently in a remote environment. The role offers a full-time schedule of 40 hours per week, with the possibility of returning to an on-site setting depending on business needs.
Qualifications
- Minimum high school diploma or GED; some college or vocational training preferred
- At least 3 years of experience in a healthcare office setting (e.g., health insurance, physician’s office, hospital, outpatient setting)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe, and internet-based applications
- Experience with document and project management software and databases
- Knowledge of medical terminology and healthcare compliance standards such as HIPAA/HITECH
- Strong organizational and multitasking skills with the ability to meet deadlines
- Effective written and verbal communication skills
- Ability to work productively in both remote and office environments
- Experience managing electronic and hard copy files and correspondence
- Excellent interpersonal skills for internal and external customer service
Responsibilities
- Scan and log incoming paper charts; extract, transfer, and log electronic charts
- Assess and process submitted cases within the document management system, including documentation review and case type assessment
- Assign cases to Non-Physician Reviewers (NPRs), Physician Reviewers (PRs), and allied healthcare professionals
- Monitor and ensure adherence to task due dates and workflow timelines
- Draft and finalize determinations letters for review and approval
- Track receipt and completion of Conflict of Interest statements from healthcare professionals
- Generate and evaluate reports to manage workload, resource allocation, and case volumes
- Proofread and format final determinations before submission
- Monitor multiple contract mailboxes for correspondence and case updates
- Assist with credentialing activities and physician recruitment outreach as needed
- Maintain accurate records of case activities and documentation
- Support internal teams and external partners with administrative functions
