++Your Job++ :

The Administrative Assistant — Vietnam Office provides essential administrative and paperwork support to ensure smooth daily operations across all Brooks offices in Vietnam. Reporting directly to the Administrative Lead — Asia , this role focuses primarily on vendor billing, contract documentation, office-related purchasing, and administrative coordination.

This position plays a key supporting role in maintaining accurate records, ensuring timely processing of invoices and paperwork, and assisting the Admin Asia Lead in managing administrative matters for Vietnam offices. The ideal candidate is detail-oriented, well-organized, and able to adapt quickly in a fast-paced working environment.

Your Responsibilities:

  • Support monthly vendor billing processes, including collecting invoices, checking accuracy, tracking payment status, and following up with vendors when needed.
  • Assist in reviewing and organizing new and existing contract terms, ensuring proper documentation and compliance with agreed conditions.
  • Handle office-related purchasing and offsite shopping, including stationery, pantry items, and other operational supplies.
  • Maintain and organize paperwork, records, and filing systems (both digital and physical).
  • Assist the Administrative Lead — Asia in managing administrative matters for all offices in Vietnam.
  • Communicate with vendors and internal staff regarding invoices, contracts, deliveries, and administrative requests.
  • Support basic expense tracking and documentation for administrative and finance-related purposes.
  • Ensure administrative tasks and documentation are completed accurately and on time.
  • Provide general administrative support to ensure smooth office operations.
  • Other duties as assigned.

Your Qualifications:

  • At least 1 year of experience in an administrative, paperwork, or office support role; a finance or accounting background is a plus.
  • Familiar with paperwork, documentation, and invoice processing.
  • Strong attention to detail, especially when handling invoices, contracts, and records.
  • Ability to adapt quickly to a new working environment and learn tasks efficiently.
  • Good communication skills, with the ability to work with vendors and internal staff.
  • Organized, responsible, and capable of managing multiple tasks.
  • Basic proficiency in Microsoft Office (Excel, Word, Outlook).
  • A proactive attitude with a willingness to learn and support the team.
