About The Role The Senior Administrative Assistant will serve as a vital support partner to the Senior Director of US Commercial Medical and Customer Service Operations. This remote position requires a highly organized, proactive individual capable of managing complex schedules, preparing executive-level documents, and facilitating seamless communication across teams. The role involves providing comprehensive administrative and project management support, including planning meetings, coordinating travel, managing expenses, and supporting organizational initiatives. The ideal candidate will demonstrate exceptional judgment, problem-solving skills, and the ability to anticipate needs, ensuring the leadership team operates efficiently and effectively. Qualifications
- High School Diploma or GED required; Bachelor’s Degree preferred
- 5+ years of experience as an Administrative Assistant or Executive Assistant supporting senior leadership
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) with the ability to produce executive-level documents
- Strong project management skills and experience with meeting planning and budget tracking
- Excellent written and verbal communication skills
- Exceptional organizational skills with the ability to multitask and prioritize effectively
- High level of discretion, confidentiality, and integrity
- Ability to operate efficiently in a fast-paced environment and adapt to changing priorities
- Proactive mindset with the ability to anticipate needs and provide solutions
- Experience with travel coordination and expense reporting using corporate tools
- Ability to interact professionally across all organizational levels
Responsibilities
- Plan and coordinate meetings, teleconferences, and off-site events, including logistics, space selection, travel arrangements, and hospitality
- Maintain and proactively manage calendars, ensuring optimal scheduling and conflict resolution
- Prepare agendas, presentations, reports, spreadsheets, and visual materials for internal and external distribution
- Track and follow up on action items from meetings and projects, providing status updates to leadership
- Support organizational reporting, including headcount reports, org charts, and interdepartmental communications
- Assist in managing project timelines and deliverables, ensuring deadlines are met
- Coordinate business travel, ensuring accuracy of itineraries and adherence to company policies
- Prepare and submit expense reports in a timely and accurate manner
- Attend meetings to take notes and document key action items as needed
- Leverage technology and best practices to enhance team productivity and communication
- Act as a point of contact for internal and external stakeholders, fostering positive relationships
