About The Role We are seeking a dedicated Administrative Assistant & Office Manager to join our dynamic team in New York. In this role, you will be instrumental in supporting the daily administrative and operational functions of our office and finance department. Your responsibilities will include managing office logistics, ensuring smooth communication between teams, and maintaining organized financial records. This position requires a detail-oriented professional capable of handling confidential information with discretion and efficiency.

The successful candidate will work closely with the finance team to support invoice processing, expense management, and basic budget tracking, facilitating seamless financial operations. You will be responsible for coordinating vendor communications, managing office supplies, and supporting month-end financial activities. The role demands excellent organizational skills, proactive problem-solving, and the ability to prioritize tasks effectively. The position requires in-office presence five days a week to facilitate collaboration and ensure operational continuity.

Qualifications

  • 2 to 4 years of experience in administrative, office management, or finance support roles
  • Experience supporting invoice processing, expense management, or basic accounting tasks
  • Strong organizational and time management skills
  • Proficiency in Microsoft 365 applications, especially Excel and Outlook
  • Ability to handle confidential information with professionalism and discretion
  • Excellent communication skills and attention to detail
  • Ability to manage multiple tasks simultaneously and follow established processes
  • Dependability and proactive support for team initiatives
  • Familiarity with accounting or ERP systems (preferred)
  • Experience supporting finance or accounting teams (preferred)

Responsibilities

  • Assist the finance team with invoice processing, expense reports, and basic budget tracking activities
  • Maintain organized financial and administrative records for easy access and audit readiness
  • Coordinate vendor communications, service agreements, and office-related invoices
  • Support purchase order creation, approvals, and payment tracking processes
  • Participate in month-end close activities by preparing documentation and following up on outstanding items
  • Manage daily office operations, including supplies procurement, facilities coordination, and handling service requests
  • Greet visitors and coordinate meeting logistics for the New York office
  • Schedule meetings, maintain shared calendars, and arrange travel arrangements as needed
  • Prepare routine reports, presentations, and correspondence to support team needs
  • Handle sensitive financial and employee information with the utmost discretion and confidentiality
