About The Role The Administrative Assistant at FormFactor plays a vital role in providing proactive, high-quality administrative and coordination support to site leadership and various cross-functional teams, including Operations, Engineering, Facilities, HR/People Operations, and Supply Chain. This role requires managing complex calendars, coordinating meetings and events, processing documentation, and supporting onboarding logistics to ensure smooth daily operations. The ideal candidate is detail-oriented, organized, and thrives in a dynamic manufacturing environment. They serve as the “glue” connecting people, processes, and information, enabling teams to focus on their core responsibilities. This position is designated for the day shift and offers an opportunity to contribute significantly to the efficiency and effectiveness of our site operations.

Qualifications

  • Minimum of 1-2 years of administrative, coordinator, or office management experience supporting multiple stakeholders
  • Proficiency with Microsoft 365/Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
  • Experience with SharePoint and OneDrive for document management and collaboration
  • Excellent written and verbal communication skills
  • Strong organizational and prioritization abilities to manage competing deadlines
  • Demonstrated discretion in handling confidential information
  • Experience in a manufacturing, engineering, or facilities environment preferred
  • Familiarity with procurement and expense systems such as Coupa or SAP Concur
  • Basic event coordination skills, including managing AV setups, catering, and agendas
  • Comfort with SharePoint architecture and simple dashboarding tools like Excel or Power BI

Responsibilities

  • Support site and team operations by managing complex calendars, scheduling meetings, preparing agendas, and tracking follow-ups
  • Coordinate on-site events including trainings, town halls, vendor visits, and interviews—handling logistics such as room booking, AV setup, catering, visitor badges, and security notifications
  • Serve as the primary point of contact for internal stakeholders and external visitors, ensuring a professional and welcoming experience aligned with company values
  • Create and update documents, slide decks, trackers, and communication materials; maintain shared drives and SharePoint structures
  • Process purchase requests, purchase orders, expense reports, shipments, service tickets, and facilities work orders; liaise with vendors as necessary
  • Assist with onboarding logistics, including badges, equipment requests, seating arrangements, and orientation materials in collaboration with People Ops and IT
  • Draft and distribute site-wide communications such as alerts, schedules, and announcements with clarity and professionalism
  • Manage travel arrangements and itineraries for site leaders and visitors, and reconcile expenses according to company policies
  • Monitor and maintain office supplies and small assets, coordinate repairs, and track loaner equipment
  • Propose and implement process improvements to administrative workflows, templates, and checklists
  • Maintain and report on administrative KPIs, ensuring compliance with safety, security, and quality procedures
