What You Need
- Ability to work onsite, Monday through Friday, 8:00 AM – 4:00 PM
- High school diploma or equivalent required; Associate degree in Business Administration, Office Management, or related field preferred
- 2-3 years of administrative or clerical experience in an office or manufacturing setting
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)
- Strong organizational skills, attention to detail, and time management
- Excellent communication and professionalism when interacting with employees and visitors
- Ability to maintain confidentiality and handle sensitive information appropriately
- Calm, composed demeanor in a fast-paced environment
What Your Role Will Look LikeAs an Administrative Assistant, you will perform essential administrative and front-desk support functions to assist the Safety Department and overall facility operations by:
- Greeting and checking in visitors, employees, and contractors using the Greetly Visitor Management System
- Answering, screening, and transferring phone calls; taking messages and directing inquiries appropriately
- Maintaining visitor records, issuing badges, and ensuring compliance with facility entry and safety protocols
- Supporting the Safety Department with general administrative tasks such as data entry, document filing, and report preparation
- Managing incoming and outgoing mail and packages, ensuring accurate distribution
- Keeping the reception and common areas clean, organized, and stocked with necessary materials such as PPE and safety forms
- Assisting with scheduling, meeting coordination, and document tracking for safety programs and compliance activities
- Responding to and assisting in emergency or evacuation procedures as directed by Safety leadership
- Providing general information about site policies, safety expectations, and visitor procedures
Physical Requirements
- Ability to walk or move throughout a large manufacturing facility (20%)
- Stand or move about specific work areas (50%)
- Sit and operate a computer workstation for extended periods (80%)
- Lift up to 15 lbs frequently and over 15 lbs occasionally
- Use of vision and hearing required for communication, safety awareness, and data processing
