About The Role The Administrative Assistant plays a vital role in supporting the operational and administrative functions of RRC’s dispersed team of professionals. This position is designed to enable team members to concentrate on delivering high-quality client services by ensuring seamless coordination, efficient processes, and effective communication across regions. The ideal candidate will be highly organized, adaptable, and proficient in managing virtual support needs, including handling diverse priorities, fast-moving workflows, and client-driven deadlines. This role requires a proactive approach, attention to detail, and the ability to work independently while collaborating effectively with internal teams and external clients.
Qualifications
- Prior administrative experience in a professional services environment
- Associate degree or relevant certification
- Minimum of 5 years of relevant administrative support experience
- Proficiency with Microsoft 365 (Word, Excel, PowerPoint, Outlook)
- Experience with collaboration platforms such as SharePoint and OneDrive
- Familiarity with virtual communication tools (e.g., Teams, Zoom)
- Calendar management experience, especially across multiple time zones
- Effective organizational and time management skills
- Strong written and verbal communication skills
- Exceptional attention to detail and accuracy in document preparation
- Ability to work independently and follow established procedures
- High professionalism, discretion, and reliability
- Flexible, proactive, and positive attitude with the ability to adapt to changing priorities

- Ability to collaborate with individuals with diverse communication styles and responsibilities
Responsibilities
- Provide high-level administrative support to RRC team members and engagement leaders across multiple regions, including scheduling meetings, preparing documents, and creating presentations
- Manage complex calendars across different time zones, coordinate virtual and in-person meetings, and prepare relevant materials
- Serve as a primary point of contact for inquiries, demonstrating professionalism, responsiveness, and sound judgment
- Support engagement operations by organizing documentation, tracking deliverables, monitoring deadlines, and facilitating cross-functional alignment
- Learn and implement new technologies, systems, and processes to enhance operational efficiency
- Assist with virtual onboarding, internal communications, and team initiatives to promote collaboration in a distributed workforce
- Update and maintain client and mailing lists, ensuring accuracy and completeness
- Maintain organized digital filing systems in compliance with firm standards and engagement protocols
- Prepare and proofread reports, presentations, proposals, and other client-facing documents with precision
- Identify opportunities to streamline administrative processes and improve productivity
- Process accounts payable through the Central Accounts Payable system
- Collaborate with Human Resources, IT, Marketing, and other firm functions as needed
- Provide backup support for other administrative and office services functions
- Assist team members with technical, procedural, and non-technical questions
- Perform general office tasks such as photocopying, mailing, scheduling conference rooms, and shredding
- Perform additional duties as assigned to support team operations and client service excellence
