About The Role We are seeking a highly motivated and detail-oriented Administrative Assistant to join our dynamic team supporting a national client services group. This role is integral to maintaining efficient operations within the team, acting as a liaison between senior leadership and the broader team, and ensuring smooth coordination of meetings, projects, and client interactions. The position offers flexible work arrangements, including hybrid or remote options, and can be based in any of our office locations across the country. The successful candidate will play a key role in managing complex schedules, facilitating communication, and supporting project management initiatives to enhance team productivity and client service delivery.

Qualifications

  • Bachelor’s Degree or equivalent professional experience
  • Minimum of 1-2 years of experience in a law firm or professional services environment
  • Familiarity with Document Management Systems
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Experience with data entry and data management is a plus
  • Knowledge of web-based collaborative tools and work management software is advantageous
  • Experience with team messaging and instant communication platforms is desirable
  • Strong skills in email and calendar management, meeting coordination, and client communication
  • Exceptional organizational and administrative skills with the ability to prioritize multiple tasks
  • Meticulous attention to detail and accuracy
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to work collaboratively within a national team environment supporting attorneys and paralegals
  • Professional demeanor and strong client service orientation

Responsibilities

  • Schedule and manage highly confidential meetings, ensuring proper documentation and follow-up
  • Coordinate complex calendars for attorneys and team members, prioritizing responsibilities effectively
  • Track and facilitate key meeting series, client requests, and project deadlines, working backwards from established timelines
  • Collaborate on initiatives to improve communication flow, document management, and data entry processes
  • Assist with project management tasks, including document preparation, process enforcement, and data collection
  • Support legal and administrative functions as needed, including clerical tasks and document handling
  • Maintain and update client and team records with accuracy and confidentiality
  • Participate in team meetings and contribute to continuous process improvements
  • Coordinate with internal and external stakeholders to ensure timely delivery of projects and services
