About The Role The HR Admin – MD role is a vital part of our Human Resources team, responsible for supporting recruitment, onboarding, and employee engagement initiatives at our White Marsh dealership location. This position involves managing the end-to-end onboarding process, coordinating new hire orientations, and ensuring compliance with all HR policies and legal requirements. The HR Admin will serve as a key point of contact for applicants, new hires, and internal stakeholders, facilitating smooth communication and efficient onboarding procedures. The role demands a detail-oriented, professional individual capable of handling multiple responsibilities in a fast-paced environment while maintaining confidentiality and demonstrating a commitment to diversity and equality. Qualifications Candidates should possess a Bachelor’s degree in Human Resources, Business, or a related field, coupled with 1 to 3 years of professional experience in HR or a related area. Strong interpersonal, verbal, and written communication skills are essential, along with the ability to maintain highly confidential information. Proven ability to build relationships across organizational levels, establish trust, and operate both independently and collaboratively is required. Familiarity with recruitment processes and onboarding procedures is a plus. The ideal candidate will demonstrate proficiency in managing multiple projects under deadline-driven conditions, possess a valid driver’s license, and be willing to travel occasionally. Responsibilities

  • Assist with the recruitment process by communicating with applicants and new hires in a friendly and professional manner.
  • Initiate, review, and track background checks and drug screens, ensuring timely processing and compliance.
  • Review job applications for completeness, coordinate with hiring managers, and advise on applicant qualifications.
  • Conduct new hire orientation sessions twice weekly or as needed, ensuring all onboarding documentation and training are completed accurately.
  • Ensure completion of I-9 verification within required timeframes and confirm receipt of job descriptions by new hires.
  • Maintain regular communication with hiring managers regarding candidate status, background checks, and onboarding progress.
  • Coordinate onboarding logistics, including scheduling orientation, preparing payroll documentation, and uploading employee records into electronic HR systems.
  • Update and maintain orientation materials, ensuring availability and accuracy for each session.
  • Collaborate with external payroll administrators to ensure onboarding documentation is processed promptly and accurately.
  • Provide new hire information for sales training and other departmental onboarding activities.
  • Monitor candidate progress daily, providing updates to HR and hiring managers to facilitate timely decision-making.
  • Address issues related to background screening and drug testing, troubleshooting vendor-related concerns as needed.
  • Review negative background or drug screen results, applying company policies to determine employment eligibility.
  • Operate effectively under pressure in a high-volume office environment, demonstrating professionalism and discretion at all times.
  • Perform additional HR-related duties that support the organization’s mission and values, including promoting diversity and inclusion initiatives.
  • Travel occasionally (less than 10%) as required, maintaining a valid driver’s license for business needs.
