About The Role We are seeking a dedicated and organized Administrative Assistant to join our team in Camden, TN or Bruceton, TN. This part-time position, requiring 20 hours per week, is essential for ensuring the smooth operation of our ABA practice. The Administrative Assistant will provide vital support to practice owners and staff by managing administrative tasks, facilitating communication, and contributing to a positive work environment. This in-person role demands a proactive individual who can handle multiple responsibilities efficiently, from onboarding new providers to managing social media content and promotional activities. The successful candidate will play a key role in maintaining operational excellence and supporting the overall growth of our practice.

Qualifications

  • Proven experience as an administrative assistant or in a similar role, preferably within healthcare or related fields
  • Proficiency in Google Workspace (Drive, Calendar, Meet)
  • Strong organizational, time-management, and multitasking skills
  • Excellent written and verbal communication abilities
  • Ability to work independently, prioritize tasks, and meet deadlines
  • Attention to detail and high accuracy in work
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Strong interpersonal skills and the ability to collaborate effectively with diverse teams and individuals
  • Familiarity with ABA practice operations is a plus
  • Comfortable working around children with behavioral needs
  • Proactive, resourceful, adaptable, and flexible attitude
  • Professionalism and a strong work ethic
  • Commitment to providing exceptional support and service
  • Successful passing of a background check (employment contingent upon screening results)

Responsibilities

  • Assist with onboarding new provider staff, including system access, training, and introductions to key personnel and workflows
  • Support new providers in aligning with the Practice Owner’s operational vision
  • Coordinate and communicate onboarding and training progress with the Practice Owner
  • Manage hiring and onboarding processes for new team members
  • Oversee insurance and note approval procedures
  • Handle time sheets and payroll administration
  • Create and manage social media content as per practice owner requests
  • Develop promotional materials to enhance practice visibility
  • Promote employee engagement through team communication channels
  • Maintain organized records of administrative activities and practice documentation
  • Assist with other administrative tasks to support daily practice operations
