About The Role The Executive Administrative Assistant (EAA) role at US Smokeless Tobacco is a vital position designed for an experienced professional who excels in supporting senior leadership. Based in Richmond, VA, this hybrid role requires a minimum of three days per week in the office and offers a unique opportunity to work closely with the President and CEO, as well as their direct reports. The successful candidate will serve as a trusted partner, providing high-level administrative support that extends beyond routine tasks. This position demands proactive problem-solving, exceptional organizational skills, and the ability to navigate a fast-paced, confidential environment. The EAA will play a key role in ensuring the smooth operation of executive functions, managing complex schedules, coordinating meetings, and handling sensitive information with discretion. Qualifications

  • Associate’s degree or an equivalent combination of education and relevant experience
  • Minimum of 3 years’ experience providing executive-level administrative support
  • Exceptional written and verbal communication skills
  • Polished, professional presence and interpersonal skills
  • Advanced proficiency in Microsoft Office Suite and digital collaboration tools
  • Strong organizational and time-management skills
  • Ability to manage competing priorities and meet deadlines effectively
  • Demonstrated discretion and confidentiality in handling sensitive information
  • Ability to work independently, exercising sound judgment and initiative
  • Proven ability to build effective relationships across all organizational levels

Responsibilities

  • Provide proactive, high-level administrative support to the President & CEO and senior leadership team
  • Manage complex, high-volume executive calendars across multiple time zones, anticipating conflicts and resolving issues proactively
  • Coordinate and prepare materials for executive, board, and international meetings, including logistics and follow-up actions
  • Arrange and oversee domestic and international travel, ensuring efficiency and attention to detail, often on short notice
  • Prepare, review, and submit expense reports and invoices accurately and promptly using electronic systems
  • Handle highly sensitive and confidential business, strategy, and product-related information with utmost professionalism
  • Review, prioritize, and manage correspondence, drafting responses and highlighting key actions for decision-making
  • Act as a liaison between senior leaders, internal stakeholders, and external partners, including suppliers and executive contacts
  • Create and maintain organized filing and record-keeping systems aligned with governance standards
  • Ensure compliance with internal controls, policies, and regulatory requirements
  • Operate independently, exercising sound judgment, initiative, and accountability with minimal supervision
