About The Role We are seeking a highly organized and proactive Executive Assistant to support our senior leadership team, including the Chief Commercial Officer (CCO), Chief Product Officer (CPO), and Chief Technology Officer (CTO). This role is pivotal in managing complex calendars, coordinating travel arrangements, planning company events, and providing backup administrative support. As a key member of our administrative team, you will work closely with various departments to facilitate smooth operations and ensure that executive needs are met efficiently. Qualifications
- Minimum of 4+ years of experience in executive administrative support or similar roles
- Proven ability to manage complex calendars and coordinate multiple schedules
- Strong organizational and critical thinking skills
- Experience in handling confidential and sensitive information with discretion
- Excellent written and verbal communication skills
- Self-starter with the ability to work independently and proactively
- Comfortable working in ambiguous environments with changing priorities
- Proficiency in Mac OS, Google Suite, Microsoft Office, and ability to quickly learn new software systems
- Ability to work effectively in a remote work setting
- Experience coordinating international meetings and travel logistics is a plus
Responsibilities
- Manage and maintain the calendars of multiple senior executives, ensuring optimal scheduling and prioritization
- Coordinate meetings across various time zones, including scheduling, preparing agendas, and distributing materials
- Assist with travel arrangements, including booking flights, accommodations, and transportation
- Support planning and execution of team offsites, events, and company meetings, ensuring alignment with organizational guidelines
- Collaborate closely with the Administration team for meeting management, backup support, and logistical coordination
- Prepare and organize meeting materials such as presentations, spreadsheets, and documents
- Assist with ad hoc projects, internal and external communications, and email management
- Process expense reports accurately and in a timely manner
- Handle confidential information with professionalism and discretion at all times
- Provide backup administrative support as needed to ensure seamless operations
