General Clerk III — Witness Management Support
Location: U.S. Attorney’s Office (USAO), Southern District of Ohio — Dayton, OH
Employment Type: Full-Time (40 hours/week)
Position Overview
The General Clerk III provides critical administrative and clerical support to the U.S. Attorney’s Office (USAO) in support of the Fact Witness Management Program. This role assists Victim-Witness personnel, Assistant U.S. Attorneys (AUSAs), and legal staff by coordinating witness-related activities, ensuring efficient case support, and facilitating the participation of fact witnesses in the federal judicial process.
The position plays a key role in managing witness logistics, processing documentation, and maintaining accurate records to support court proceedings and ensure timely witness reimbursement.
Key Responsibilities
Witness Coordination & Support
- Serve as a primary point of contact for fact witnesses, responding to inquiries regarding court appearances, travel, and reimbursements
- Coordinate and confirm witness attendance for court, pre-trial conferences, and grand jury proceedings
- Notify witnesses of appearance dates, times, and travel arrangements, identifying any special needs or circumstances
- Provide courtroom orientation and on-site assistance to witnesses during proceedings
- Ensure witnesses have appropriate accommodations, travel documentation, and a safe waiting area
Travel & Reimbursement Processing
- Arrange witness travel and lodging in accordance with DOJ and USAO policies
- Prepare, review, and submit witness vouchers and reimbursement documentation
- Track and respond to inquiries regarding voucher status and payments
- Reconcile travel documentation and Government Travel Accounts
Administrative & Case Support
- Maintain and organize witness files, records, and databases
- Track court dates, hearings, and witness schedules
- Prepare correspondence and standard legal/administrative documents
- Enter, retrieve, and analyze data from multiple systems
- Coordinate with internal and external stakeholders including courts, U.S. Marshals Service, and investigative agencies
General Office Duties
- Answer phones, receive visitors, and handle routine inquiries
- Schedule appointments and maintain calendars
- Compile reports and ensure accuracy of case-related information
- Perform additional administrative and logistical duties as assigned
Minimum Qualifications
Education:
- High School Diploma required
- Associate’s or Bachelor’s degree preferred
Experience:
- Minimum of 3 years of relevant administrative or clerical experience
Required Skills:
- Strong communication and interpersonal skills
- Proficiency in word processing, data entry, and database management
- Ability to analyze and manage information from multiple sources
- Experience preparing reports and correspondence
- Strong organizational skills with attention to detail and accuracy
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Additional Requirements
- Ability to obtain and maintain a DOJ security clearance (including background investigation)
- U.S. citizenship required
- Ability to handle sensitive and confidential information
- Strong organizational skills and ability to work under pressure
- Willingness to occasionally work evenings or weekends, as needed
Work Environment & Schedule
- Full-time, 40 hours per week (Monday–Friday)
- Work performed on-site at the USAO in Dayton, OH
- May be eligible for alternative work schedules (e.g., compressed schedule) based on management approval
Performance Expectations
- Maintain a minimum of 95% accuracy in all assigned tasks
- Demonstrate professionalism, reliability, and adherence to DOJ policies and procedures
