Sales Operations Coordinator
Role Overview
We are looking for a Sales Operations Coordinator to support daily operational execution across sales, item setup, retailer systems, and administrative processes. This role serves as a central resource ensuring accurate product data management, system maintenance, retailer alignment, and cross-functional coordination between Sales, Operations, and Leadership teams.
The position plays a critical role in maintaining data integrity, supporting field teams, managing retailer requirements, and ensuring the timely execution of administrative and item-related initiatives across multiple customer platforms.
Salary Range
45k-55k
Key Responsibilities
Item Management & Data Administration
- Maintain and manage VIP item administration and product data updates
- Support new item setup processes and assist with new item forms
- Manage product syndication platforms such as Syndigo or Nielsen Brandbank
- Coordinate and update product specifications across other retailer platforms and internal paperwork
- Manage retailer item/distributor backend alignment updates, including Kroger and Walmart DSD alignment forms
Retailer & Customer System Support
- Process and submit any needed shipment notifications for Direct Customer shipments
- Assist with Distributor alignment follow-ups for new or evolving retailer partners
- Process billbacks as needed for direct customers
- Help clarify customer deductions and provide processing information to accounting
Sales & Organizational Support
- Serve as PP Lead for Monthly Sales Meeting coordination and preparation
- Manage milestone gift card programs and tracking
- Coordinate business card ordering and BDS trade show materials
- Provide ongoing administrative support to sales leadership and field teams
- Take on ad hoc projects across the organization as business needs evolve
Systems Administration
- Administer user access to data systems
- Maintain and manage Repsly platform administration
- Execute order form edits and updates as needed
Qualifications & Experience
Required
- High attention to detail
- Strong organizational and time-management skills
- Ability to manage multiple priorities and deadlines simultaneously
- Strong written and verbal communication skills
- Ability to work cross-functionally with Sales, Marketing, Operations, and external retailer contacts
- Proficient in Microsoft 365 (Excel, Word, Powerpoint, etc.)
Nice to Have
- Experience in CPG item lifecycle management and Syndigo
- Experience with Microsoft Business Central
- Understanding of retail compliance deductions and billback processes
- Experience preparing materials for sales meetings or trade events
- Process improvement mindset and documentation experience
