Project Coordinator

Responsibilities

Project Coordination and Scheduling

Coordinate stakeholder interviews, journey mapping sessions, design workshops, and sprint ceremonies

Manage meeting logistics, scheduling, agendas, and follow-ups

Track action items and ensure timely completion of assigned tasks

Maintain delivery calendar aligned to project milestones and sprint timelines

Documentation and Artifact Management

Capture and distribute meeting notes, decisions, and key discussion points

Maintain organized project documentation repositories
-
Track and version key deliverables including wireframes, workflow documentation, and validation summaries
-
Support documentation of configuration updates and knowledge transfer materials

Milestone and Deliverable Tracking

Monitor project milestones, sprint artifacts, and deliverable completion status

Track backlog items and refinement updates in collaboration with the UX Strategist and Power Platform Engineer

Support preparation of sprint reviews and stakeholder checkpoints

Assist in compiling pilot testing summaries and rollout documentation

Stakeholder Communication and Reporting

Support preparation of weekly or bi-weekly status updates
-
Help compile progress reports covering risks, dependencies, and open items

Ensure transparency of delivery progress across business and technical stakeholders

Maintain clear documentation of approvals and decision checkpoints

Pilot and Handoff Support

Assist in preparation of pilot launch materials and enablement documentation

Support development of training assets and knowledge transfer packages

Track transition items required for operational handoff
Qualifications

Organizational and Administrative Skills
-
Strong organizational skills with high attention to detail

Ability to manage multiple workstreams, schedules, and documentation artifacts

Comfortable maintaining structured repositories and version control practices

Agile and Delivery Support Experience

Experience supporting Agile or sprint-based delivery environments

Familiarity with backlog tracking, sprint ceremonies, and milestone reporting

Ability to follow structured governance and delivery frameworks

Communication and Collaboration

Clear written and verbal communication skills

Ability to interact professionally with business stakeholders, UX team members, and technical resources

Strong follow-through and proactive task management mindset

Ability to escalate risks or blockers appropriately to the UX Strategist or delivery lead
The salary range for this role is $62,000 to $85,000 or the hourly equivalent.
