Primary Purpose of Position

The primary purpose of this position is to provide access to the public records of the state to researchers. Â In the context of the section’s mandate to preserve and provide access to the documentary heritage of the state, this position assists the correspondence sub-unit with the work of providing public records requests and copy orders by mail, fax, e-mail, or the online correspondence portal.

Key Responsibilities include but are not limited to

  • Make accurate photocopies or scans of the records and send to the recipients in a timely manner using various types of processes such as mail, email, etc.
  • Serve as the back up to the security assistant position and the reference staff when needed.
  • Assist the correspondence archivists by utilizing indexed and abstracted records to complete remote research requests.
  • Pull original records from the archival stacks when requested.
  • Shelve original records in the archival stacks and books in the Search Room library.
  • Assist with locating, scanning and printing records and labels for rotating exhibits in the Search Room Display case.

Position/Physical Requirements

  • Must be able to work a Tuesday – Saturday weekly schedule.
  • Must be able to lift at least 40 pounds and unpack, shelve, and shift large quantities of archival materials with or without reasonable accommodation.Â
  • Must be able to stand for long periods of time.Â
  • Must be able to climb stairs.

Management Prefers

  • Demonstrated experience using office equipment, including personal computers, copiers, and scanners.
  • Demonstrated proficiency with Microsoft Office or comparable software program.
  • Demonstrated experience working in an archives, library, or special collections environment.
  • Demonstrated experience dealing courteously with the general public, in a variety of situations.
  • Demonstrated knowledge of NC History, its people, and places.

Section/Unit Description The Public Services Unit of the Collection Services Section is responsible for reference services to historians, scholars, state and local officials, lawyers, land surveyors, genealogists and the general public who have need to consult the public records, private manuscripts, maps, and special collections in the official custody of the State Archives of North Carolina. These services are provided through personal consultation, telephone, online and mail inquiries with copy and certification services provided as mandated by North Carolina General Statutes Â

  • 121-5 and Â
  • 132-9.

Division Description

The Division of Archives and Records is the division responsible for preserving and making available the documentary heritage of the state. Under the direction of NCGS Â

  • 121, the division is mandated to “collect, preserve, and administer” both public records and “private and unofficial historical records and other documentary materials relating to the history of North Carolina.”

Veteran’s and National Guard Preference

Applicants seeking Veteran’s Preference must attach a DD Form 214, Certificate of Release or Discharge from Active Duty, along with the state application.

Applicants seeking National Guard Preference must attach an NGB 23A (RPAS), along with the state application if they are a current member of the NC National Guard in good standing.Â

Applicants who are former member of either the NC Army National Guard or the NC Air National Guard, with honorable discharge and six years of creditable service must attach a copy of the DD 256 or NGB 22, along with the state application.
