About the Role

Luminate, a management consulting firm in power and renewable energy, is seeking a full-time Operations Associate for a hybrid position offering remote work flexibility. The Operations Associate provides administrative and operational support across Accounting, Project Coordination, Marketing, Human Resources, and general office operations to ensure efficient and timely business operations. The ideal candidate is an enthusiastic, dependable self-starter who is assertive, detail-oriented, discerning, and responsive to internal client needs.

Responsibilities

Accounting Support

  • Support daily accounting operations
  • Assist with client billing and accounts receivable processes such as daily bank deposits, uploading bank transactions, and updating/ maintaining daily spreadsheets
  • Process vendor payments and accounts payable transactions
  • Prepare and enter expense reports, cash receipts, journal entries, and reconciliations
  • Assist Accounting Manager with billing, invoice management, accounts payable, expense reports and other accounting functions
  • Assist with mail and document retention/ management
  • Collaborate with the internal team on routine tasks and requests

Client & Project Support

  • Assist with the data management process, including the secure retrieval, organization, and digital archiving of files from client-hosted virtual data rooms (e.g., Sharefile, Intralinks, Box)
  • Format, edit and assist with preparation of client reports and other documents
  • Support the project management team as needed

Office Management

  • Assist with office administrative tasks such as ordering supplies, IT requests, organizing common areas, managing food orders, and receiving deliveries
  • Coordinate travel arrangements, including booking flights, lodging, and transportation
  • Provide general operational support to the business operations team to ensure smooth and timely office operations

Cross-Functional Support

  • Collaborate with Marketing and Human Resources on administrative and project-based initiatives and tasks
  • Assist with general business needs and special projects as assigned

Qualifications

  • 5 years’ operations, accounting, or project coordination experience
  • Bachelor’s degree
  • Excellent organizational and time management skills; able to adapt quickly, handle multiple tasks and priorities
  • Ability to work independently and collaboratively
  • Proficient in computer systems and applications with a strong aptitude for technology and digital tools
  • Intermediate to advanced Microsoft Office skills
  • Proactive, motivated self-starter
  • Positive, enthusiastic attitude
  • Discerning and able to handle confidential matters
  • Experience with Deltek Vantagepoint a plus
