Position Overview

The Program & Evaluation Associate is a full-time professional role supporting implementation, coordination, evaluation processes, and event execution across all ETE programs.

This role is designed for a strong education professional who is highly organized, detail-oriented, mission-driven, and eager to grow into more senior leadership roles.

The Associate works closely with the President/CEO and/or senior program leadership to ensure that programs are implemented and evaluated efficiently, timelines are tracked, deliverables are met, and evaluation systems are maintained.

This is not an administrative-only role. It is a professional education position with growth potential into Specialist and Senior Specialist levels.

Core Responsibilities

I. Program Implementation Support (Across All ETE Programs)

  • Support implementation of multiple concurrent projects
  • Maintain detailed project timelines and milestone tracking systems
  • Document meeting notes and track action items
  • Ensure follow-up with institutional partners
  • Maintain organized project documentation systems
  • Assist in monitoring implementation fidelity aligned to approved work plans
  • Prepare materials for workshops and learning sessions

II. Evaluation & Data Support

  • Design surveys with closed and open-ended questions
  • Assist in survey administration (pre/post, formative, summative)
  • Organize, clean, and maintain data sets
  • Track KPIs aligned with logic models
  • Support preparation of data summaries and visualizations
  • Write progress reports
  • Write evaluation reports using company templates
  • Maintain documentation needed for funder compliance

III. Event & Convening Support

Support ETE-hosted events including:

  • Student Success Summit
  • ETE Education Summit
  • Online workshops and professional learning sessions

Depending on the ETE event, responsibilities could include:

  • Preparing run-of-show documents.
  • Coordinating speaker logistics.
  • Preparing slide decks and materials.
  • Supporting virtual event technology.
  • Assisting with post-event evaluation tracking.

IV. Client Coordination

  • Draft follow-up emails after meetings
  • Maintain shared folders and documentation
  • Track agreements/contracts and deadlines
  • Support onboarding of new clients
  • Prepare summaries and briefing documents

V. Internal Operations Support

  • Maintain project management systems (Asana, Trello, Google Workspace, etc.)
  • Track reporting calendars
  • Maintain templates and documentation systems
  • Identify process improvement opportunities

Qualifications

Required

  • Master’s degree required (Education, Higher Education, Curriculum and Instruction, Applied Statistics/Data Analytics, Sociology, Psychology, or related field)
  • 3 years of experience in K–12, higher education, nonprofit, or education-adjacent environments
  • Strong organizational and project coordination skills
  • Experience working with data (basic analysis and reporting)
  • Strong written and verbal communication skills
  • High attention to detail
  • Ability to manage multiple projects simultaneously

Preferred

  • Experience supporting grant-funded programs
  • Familiarity with logic models and evaluation frameworks
  • Experience supporting professional development programs
  • Experience with virtual event coordination

What Success Looks Like in This Role

Within the first year (first 12 months), the Program & Evaluation Associate will:

  • Ensure consistent tracking of implementation milestones.
  • Improve documentation systems across programs.
  • Support timely report preparation for different projects.
  • Support the completion of at least two ETE programs (e.g., professional development, strategic planning, or student success initiatives).
  • Write or co-write at least 8 evaluation reports.
  • Write or co-write at least 2 evaluation plans.
  • Create at least 6 data collection instruments.
  • Collect and analyze data from quantitative and qualitative survey responses.
  • Contribute to successful execution of ETE events.
  • Strengthen internal operational systems.
  • Demonstrate readiness to advance to Specialist level.

With demonstrated performance, the Associate may advance to Program & Evaluation Specialist within 1-2 years.
