Property Administrator StoryPoint Bolingbrook The Property Administrator will perform andor oversee all office activities of a senior residential community This role is responsible for maintaining an accurate reporting system of resident accounts and office processes within assigned timelines The Property Administrator will assist the Executive Director with financial oversight of budget department declining budgets NOI coverage ratio cash flow and loss to potential Required Experience Associates degree or equivalent experience2 4 years of experience in property managementAbility to write clearly and conciselyAbility to effectively communicate verbally with individuals and both large and small groupsAbility to effectively work collaboratively as part of a teamStrong proficiency with Microsoft Office ApplicationsAccounting or financial experience preferredForecastingprojections experience preferredAdministrative experience requiredKnowledge of YardiSome travel may be required Primary Responsibilities The Property Administrator assumes the Executive Director responsibilities when requiredCarry out supervisory responsibilities in accordance with the organizations policies and applicable lawsDirectly manages front office personnelFunction as Manager on Duty taking a weekend rotationSchedule front office personnelComplete resident billing of monthly rental fees and other miscellaneous chargesCollect process deposit and record all income and notify residents of non paymentsPerform month end closing procedure and ensure that reports are accurate and submitted in a timely mannerMaintain and update the property file system on work orders general correspondence residents employees etcMaintain Certificates of Insurance with vendorscontractorsProvide quality professional service to the residentsEnter lease renewals and move inmove out paperwork processing in YardiMaintain and reconcile petty cash accountProcess purchase invoices on a weekly basisManage budget control ledgerPayroll administration including pay package termination packages and payroll transmittalsMaintain department expenses within budgeted parametersPurchase and supervise the maintenance of all office and administrative supplies and equipmentMaintain vendor indemnification and code of conductAdditional duties as assigned or neededMaintain a positive attitude which supports team performance and productivitySupports the Mission Values and Vision of Senior Village ManagementWork toward continual improvement of the overall organizationTrain front office personnel as necessary to cover Property Administrator responsibilitiesResponsible for pursuing receivablescollection of outstanding unpaid rentsImplement and conduct structured receivables collectionConduct monthly general ledger reviewCollaborate with team to forecast operations with 98 accuracy 4 months out General Working Conditions This position entails standing for long periods of time While performing the duties of this job the employee is required to communicate effectively with others sit stand walk and use hands to handle keyboard telephone paper files and other equipment and objects The employee is occasionally required to reach with hands and arms This position requires the ability to review detailed documents and read computer screens The employee will occasionally lift andor move up to 25 pounds The work environment requires appropriate interaction with others The noise level in the work environment is moderate Occasional travel to different locations may be required
