About The Role

The Workplace Operations Associate will lead office operations while supporting workplace projects and events. You’ll be the point person coordinating facilities projects, partnering closely with business stakeholders, vendors and building management. In addition, you’ll be in charge of space planning, event planning and procurement administration.

Responsibilities

  • Coordinate office events in partnership with internal stakeholders, overseeing vendor engagement, contracting, venue/site selection, and end-to-end logistics through execution
  • Support workplace planning efforts, including space allocation and seating recommendations to improve utilization and adapt to organizational changes
  • Manage key workplace vendors and maintain ongoing coordination with building management to ensure office services and facilities needs are addressed promptly
  • Administer procurement and payment processes for the team, including purchase coordination, invoice review, and processing through an electronic payment platform, while maintaining appropriate controls and documentation
  • Assist with budget administration and routine financial tracking, including monitoring spend, managing accruals, and supporting periodic reporting
  • Provide administrative support to senior leadership and the broader team, including scheduling, meeting coordination, travel support, expense processing, and business continuity assistance
  • Support insurance-related administration as needed, including coordinating claims activity and assisting with proposal documentation
  • Oversee subscription management across multiple groups, including renewals, vendor coordination, and internal tracking
  • Support travel program administration by helping maintain policies and procedures and coordinating resolutions for exceptions as they arise
  • Oversee hospitality and front-of-house services, including day-to-day operations, inventory and budget oversight, service standards, and continuous improvements to the workplace experience

Qualifications

  • 3–5 years of experience in office operations and workplace management
  • Background in facilities coordination, administrative support and vendor management
  • Highly organized and able to manage multiple projects simultaneously
  • Strong interpersonal and communication skills
  • Bachelor’s Degree required
