Responsibilities

  • Manage incoming calls using multi-line phone systems with professionalism and courtesy, ensuring all inquiries are directed appropriately
  • Assist with calendar management and scheduling appointments using tools like Google Workspace and Microsoft Office
  • Perform data entry and maintain accurate records through filing, proofreading, and updating databases such as QuickBooks or other office management software
  • Provide excellent customer support via phone, email, or chat by addressing inquiries promptly and efficiently
  • Support office management tasks including organizing files, processing paperwork, and maintaining office supplies
  • Handle clerical duties such as typing correspondence, proofreading documents, and managing incoming/outgoing mail
  • Support team members with personal assistant tasks like appointment reminders and document preparation

Qualifications

  • Previous office experience or clerical experience preferred but not required; training will be provided for the right candidate
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional phone etiquette and customer service skills; bilingual abilities are a plus to assist diverse clients and team members
  • Familiarity with multi-line phone systems and office management tools such as QuickBooks is advantageous
  • Ability to work independently in a remote setting while maintaining high levels of productivity and communication
  • Personal assistant or medical/dental receptionist experience is beneficial but not mandatory
