Entry Level Remote Coordinator
Overview
We are seeking a detail-oriented and organized Entry Level Remote Coordinator to join our team. This position offers an excellent opportunity for individuals interested in office management, administrative support, and customer service within a dynamic remote work environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and a proactive approach to multitasking. Prior office or clerical experience is preferred but not required, as training will be provided. This role is essential in supporting daily operations, managing schedules, and ensuring smooth communication across departments.
Responsibilities
- Manage front desk functions virtually, including handling multi-line phone systems and customer inquiries
- Assist with calendar management and appointment scheduling using Google Workspace and Microsoft Office tools
- Perform data entry, filing, and document proofreading to maintain accurate records
- Support office management tasks such as organizing files, maintaining databases, and updating records in QuickBooks or bookkeeping software
- Provide exceptional customer service via phone, email, and chat support while practicing professional phone etiquette
- Coordinate administrative tasks such as typing correspondence, managing office supplies, and supporting team members with personal assistant duties
- Assist with medical or dental receptionist duties as needed, including appointment scheduling and patient communication
- Support bookkeeping activities including invoicing, billing, and basic financial record keeping
- Maintain organizational efficiency by managing multiple priorities with effective time management skills
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong computer literacy and familiarity with office management software such as QuickBooks
- Excellent organizational skills with the ability to prioritize tasks effectively
- Effective communication skills, both written and verbal, with good phone etiquette
- Bilingual abilities are a plus to support diverse client needs
- Experience in clerical work, data entry, filing, proofreading, and customer support roles preferred
- Knowledge of multi-line phone systems and front desk operations beneficial
- Ability to handle administrative responsibilities independently with minimal supervision
- Strong time management skills to meet deadlines efficiently
- Previous experience in medical or dental reception or personal assistant roles is advantageous
