About The Role We are seeking an experienced Executive Assistant to provide high-level administrative support to the Vice President of the Corporate Information Security Division at Sony Corporation of America. This pivotal role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, dynamic environment. The successful candidate will serve as a key point of contact for the executive, facilitating communication, coordinating schedules, and supporting departmental initiatives. This role follows a hybrid work schedule, requiring presence in our New York office three days a week, with the flexibility to work remotely on other days. The ideal candidate will demonstrate professionalism, proactive problem-solving, and a commitment to maintaining the highest standards of confidentiality and efficiency.
Qualifications
- College degree preferred
- Minimum of 5 years of executive-level administrative experience, ideally within a technical or corporate environment
- Exceptional organizational and time-management skills
- Proactive approach with strong attention to detail
- Excellent written and verbal communication abilities
- Ability to work independently and collaboratively in a team setting
- Strong interpersonal skills and professionalism across diverse teams
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with collaboration tools such as Teams, SharePoint, OneDrive, and Adobe
- Ability to adapt to changing priorities and solve problems efficiently
- High level of discretion and integrity in handling confidential information
Responsibilities
- Manage complex executive calendars, including cross-time-zone scheduling, prioritization, and conflict resolution
- Coordinate team collaboration using SharePoint, Teams, and distribution lists
- Plan and support meetings and events, including logistics, technology setup, catering, and security access
- Prepare, review, and process expense reports in accordance with corporate policies
- Assist in organizing departmental workshops, offsites, and large meetings
- Draft, edit, and format correspondence, presentations, and official documents
- Maintain secure and organized digital files and records
- Support departmental projects and daily operational needs
- Manage and distribute internal communications within the department
- Handle sensitive information with professionalism and confidentiality
- Identify opportunities to improve processes and streamline workflows
- Build and maintain strong relationships with internal teams, Sony Group companies, and external partners
- Perform additional duties as required to support the department head and team members
