Outreach Systems Specialist
General Information & ResponsibilitiesThe Outreach System Specialist provides SIS support for PaCE, AE, and BTC; troubleshoots SIS issues; trains/updates current/new users in SIS; and performs duties such as creating/maintaining classes/courses and student records in SIS.Description of Duties DESCRIPTION OF ESSENTIAL DUTIES: * Provides Student Information Systems (SIS) support for PaCE, Adult Education (AE), and the Business Training Center (BTC) by analyzing/resolving system issues, monitoring the LMC, submitting work tickets when needed, following up on those tickets, establishing SIS rights and permissions, and updating procedures or creating new procedures as needed.
- Builds and maintains class IDs/CRNs in the SIS and assists BTC if they are unable to perform the task.
- Maintains working knowledge of SIS and stays up to date on system releases made by SIS vendors; testing new releases and implementation of new system features and fixes.
- Enters and verifies course/class section data, tuition/lab fees, and calculates credit hours, works with the college on term setup, and builds/maintains various codes.
- When directed, cancels class or makes changes to a class in SIS.
- Trains/updates current and new users on SIS and updates procedures/documentation when needed.
- Manages cash/check refund process for PaCE students and communicates to Finance Department.
- Writes and runs SQL reports as well as reports from SIS.
- Manages duplicate student record corrections for PaCE, BTC, and AE and consolidates household or learner profile accounts.
- Maintains current Illinois Community College Board (ICCB) approved PaCE, AE, and BTC course files.
- Performs College for Kids (CFK) functions including but not limited to building/maintaining class IDs, analyzing/modifying data in SIS, entering grades, printing confirmations, schedules, and various reports, submitting student refunds (cash/check), and verifying enrollment count.
- Maintains the retention and disposal processes for records management for PaCE.
- Processes requests to PaCE for enrollment verification and grade reports after receiving appropriate paperwork.
DESCRIPTION OF OTHER JOB DUTIES: * Serves as backup for the Accounting Specialist III.
- Represents PaCE, AE and BTC on Banner Support Group and the Business Continuity Plan Group for PaCE and AE.
- Assists with Registration Specialist-Student Support duties.4. Creates/maintains department forms as needed.5. Assists with CE/CEU record/file maintenance.6. Collaborates with college departments to maintain the integrity of data within the SIS.7. Represents the PaCE Department at community/college events.8. Performs other job-related duties as assigned.OVERALL ACCOUNTABILITIES: * Demonstrates BHC core values.

- Works directly and cooperatively with PaCE staff and faculty, Adult Education staff, and BTC staff.
- Works cooperatively with all Black Hawk College faculty and staff.
- Works cooperatively with students, customers, and the public.
Education & Experience EDUCATION AND EXPERIENCE: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.) * Associate’s degree required with a minimum of 24 college credit hours of computer-related coursework.
- Proficiency in at least one programming language required; SQL preferred.
- Experience with Microsoft office programs required.
- Strong written and verbal communication skills required.
- Experience working with an integrated SIS.
- Above average organizational, attention to detail, and analytical skills required.
- Demonstrated self-starter and technical problem-solving abilities required.
