About The Role The Executive Assistant (EA) at Raptor Maps plays a vital role in supporting the company’s leadership, particularly the Founders. This position demands a highly organized, proactive, and discreet individual capable of managing complex schedules, travel arrangements, and expense reports. The EA will serve as the first point of contact for internal and external stakeholders, ensuring smooth communication and operational efficiency. The role requires anticipating the needs of executives, managing multiple priorities simultaneously, and maintaining confidentiality at all times. The ideal candidate will be adaptable to the dynamic startup environment, possess excellent interpersonal skills, and demonstrate a strong sense of professionalism. This role offers an exciting opportunity to contribute directly to the company’s growth and success by enabling leadership to focus on strategic initiatives.
Qualifications
- Minimum of 3 years of administrative support experience in a fast-paced professional environment
- Proficiency in GSuite (Gmail, Calendar, Drive), Slack, Excel, and PowerPoint
- Excellent organizational skills and attention to detail
- Strong communication skills, both written and verbal
- Ability to prioritize tasks effectively and manage multiple projects simultaneously
- High level of discretion and confidentiality
- Proactive mindset with problem-solving capabilities
- Adaptability and flexibility in a dynamic startup environment
- Bachelor’s degree preferred
- Must be primarily located in the contiguous United States
- Authorized to work in the US
Responsibilities
- Manage and coordinate logistics for meetings, events, and travel arrangements for executives and team members as needed
- Collaborate with senior leadership to plan meeting agendas and optimize meeting flow
- Prepare reports, presentations, and other documentation using Excel, PowerPoint, and internal tools
- Proactively anticipate the needs of executives and understand the broader organizational context
- Prepare and submit expense reports accurately and timely
- Scan, file, and distribute action items from company correspondence and mail
- Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality
- Support special projects and initiatives that require administrative coordination
- Maintain an organized and efficient office environment, whether remote or in-office
