Executive Assistant

Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support to senior leadership. This role is ideal for someone who thrives in fast-paced environments, anticipates needs before they arise, and enjoys enabling executives to operate at their highest effectiveness.
Key Responsibilities
Executive Support

Manage complex calendars, scheduling, and meeting coordination

Handle email management, prioritization, and drafting responses

Prepare documents, presentations, reports, and meeting materials

Support decision-making through timely follow-up and task tracking
Communication & Coordination

Serve as a primary point of contact for internal and external stakeholders

Coordinate cross-functional communication on behalf of leadership

Draft professional correspondence, memos, and summaries
-
Maintain discretion, confidentiality, and excellent judgment
Operational Support

Organize travel arrangements, itineraries, and logistics

Process expenses, reimbursements, and vendor invoices
-
Maintain databases, files, records, and documentation systems

Support onboarding of new team members or contractors as needed
Project & Task Management

Assist with small project coordination and tracking deadlines

Conduct basic research and prepare briefing notes

Help oversee recurring processes, events, and leadership routines
-
Identify opportunities to improve workflows and executive efficiency
Qualifications
Education & Experience

Diploma or bachelor’s degree in Business Administration, Communications, Management, or related field

1–3 years of experience in administrative support, office coordination, or executive assistance
Skills

Strong written and verbal communication

Excellent organization, time management, and attention to detail

Proficiency in Google Workspace/MS Office (Calendar, Docs, Sheets, Slides)

Ability to multitask, prioritize, and manage shifting schedules

Strong professional judgment and ability to handle confidential information
