About The Role We are seeking an organized and proactive Administrative Assistant to support the Chief Marketing Officer (CMO) and the marketing department. This entry-level position is responsible for managing a variety of administrative and business duties to ensure the smooth operation of the department. The successful candidate will work independently with minimal supervision, handling correspondence, scheduling, event coordination, and document management. This role offers an excellent opportunity to gain insight into the restaurant and marketing industries, develop professional skills, and contribute to the strategic initiatives of Whataburger’s marketing team. The position requires a detail-oriented individual who can prioritize tasks efficiently, communicate effectively, and maintain confidentiality at all times.
Qualifications
- High School Diploma or equivalent work experience
- Bachelor’s Degree preferred
- 0-6 months experience, preferably in the restaurant industry
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, OneNote, Teams)
- Proficiency in Concur, Microsoft Strategy, Oracle, UKG Dashboard
- Working knowledge of Dynamics Customer Care Database
- Proficiency in JD Edwards preferred
- Demonstrated technical troubleshooting skills
- Ability to maintain strict confidentiality
Responsibilities
- Respond to incoming emails and correspondence on behalf of the CMO, determining appropriate actions and forwarding as necessary.
- Organize and prioritize large volumes of information and calls, managing the CMO’s calendar and scheduling appointments, meetings, and travel arrangements.
- Assist the Business Manager with department communications, recommending content and distribution methods.
- Create and develop visual presentations, including charts, tables, and graphs, to support departmental needs.
- Support the preparation and coordination of weekly and monthly meetings, including note-taking, research, and follow-up on action items.
- Draft talking points and agendas for the CMO’s monthly department Town Hall meetings.
- Coordinate on-site and off-site meetings and events, ensuring timely planning, execution, and adherence to budget constraints.
- Negotiate contracts with vendors and event spaces, providing recommendations to the CMO.
- Recommend and monitor departmental budgets, reviewing variance reports and collaborating with Finance on discrepancies.
- Maintain and update departmental files, records, policies, and manuals to ensure accuracy and accessibility.
- Act as a project coordinator for special initiatives, including organizing presentations, disseminating information, and supporting departmental meetings.
- Perform any additional responsibilities as assigned to support the department’s objectives.
