About The Role We are seeking a highly organized and detail-oriented Administrative Assistant to support our Executive Leadership Team. In this role, you will be responsible for managing calendars, coordinating meetings and events, and handling travel arrangements for senior executives. The ideal candidate will demonstrate proactive problem-solving skills, professionalism, and the ability to work efficiently in a fast-paced environment. Your role is pivotal in ensuring smooth daily operations and facilitating effective communication between executives, stakeholders, and vendors. This position offers an exciting opportunity to be an integral part of a growing technology company that values innovation, collaboration, and continuous improvement. Your contributions will directly support the leadership team in achieving strategic goals while fostering a positive and productive work environment.

Qualifications

  • Minimum of 2+ years of administrative experience, preferably supporting C-Suite executives
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time-management skills with keen attention to detail
  • Experience booking travel and managing complex schedules
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion and professionalism
  • Familiarity with expense management tools such as Nexonia, Concur, Paycor, or Sage
  • Ability to work independently and collaboratively within a team
  • Adaptability to changing priorities and fast-paced environments

Responsibilities

  • Manage and maintain calendars for executive leadership, scheduling meetings and appointments efficiently
  • Coordinate internal and external events, including logistics, materials, and venue arrangements
  • Arrange domestic and international travel, including flights, accommodations, and detailed itineraries
  • Prepare, review, and organize documentation for meetings and travel arrangements
  • Communicate professionally with executives, stakeholders, vendors, and clients
  • Assist with expense reporting, invoice processing, and budget tracking
  • Support special projects and administrative tasks as assigned by the leadership team
  • Ensure confidentiality and security of sensitive information at all times
  • Maintain organized filing systems and ensure all documentation is up-to-date
