About The Role We are seeking a highly experienced and proactive Executive Assistant II to provide comprehensive support to our Founder & CEO. This role is vital in ensuring the CEO’s time is optimized and their commitments are managed with precision and discretion. The ideal candidate will serve as an integral member of the Office of the CEO, creating efficiency and clarity across all aspects of the executive’s professional and personal life. This position requires a high level of professionalism, exceptional organizational skills, and the ability to handle a fast-paced, evolving environment. The Executive Assistant II will be based in San Francisco, with an expectation of weekly presence in the office and occasional travel, both nationally and internationally, up to 15%. The role demands 24/7 availability during travel periods and a keen ability to anticipate needs, prioritize tasks, and communicate effectively with high-profile stakeholders.

Qualifications

  • 10+ years of experience supporting C-suite executives, with at least 5+ years supporting a Founder or CEO, preferably in a public company or high-growth environment.
  • Proven personal assistant experience, with the ability to seamlessly support both professional and personal needs of an executive.
  • Exceptional communication skills, with the ability to convey complex ideas clearly and professionally.
  • Strong organizational and time management skills, with the ability to handle multiple priorities and adapt to shifting demands.
  • High level of discretion, judgment, and confidentiality in handling sensitive information.
  • Demonstrated resilience and calmness under pressure, with the ability to work effectively in ambiguity.
  • Tech-savvy with proficiency in G Suite, Slack, Zoom, expense management tools, and familiarity with AI technologies.
  • Experience supporting high-profile, public-facing executives in industries such as technology, finance, media, or startups.
  • Willingness to work in a fast-paced, dynamic environment with occasional travel and outside traditional hours.
  • Residency within reasonable distance to San Francisco to facilitate weekly in-office presence.

Responsibilities

  • Provide high-touch, comprehensive support to the CEO, including managing their calendar, travel logistics, and daily commitments.
  • Anticipate the needs of the CEO, proactively addressing scheduling conflicts and preparing briefing materials for meetings and engagements.
  • Coordinate complex international and domestic travel arrangements, ensuring seamless logistics and accommodations.
  • Manage high-volume communications across multiple channels, filtering and prioritizing messages for the CEO’s review.
  • Serve as a liaison with internal departments and external stakeholders, maintaining strategic relationships and streamlining workflows.
  • Collaborate closely with the Chief of Staff to handle requests, special projects, press appearances, and speaking engagements.
  • Assist with operational tasks such as processing expense reports, approvals, document sign-offs, and reimbursements.
  • Attend and facilitate executive team meetings, ensuring all virtual and in-person meeting spaces are prepared for optimal performance.
  • Support the CEO’s personal needs, balancing confidentiality and discretion at all times.
  • Remain flexible and adaptable to accommodate urgent requests and changing priorities outside of traditional working hours.
