Executive Assistant
Overview
The Executive Assistant will provide high-level administrative support to senior leadership, ensuring smooth daily operations and effective time management. This role requires strong organizational abilities, discretion, and the capacity to handle complex tasks with professionalism and efficiency.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments for executives.
- Prepare emails, reports, presentations, and documents as requested.
- Organize travel arrangements, itineraries, accommodations, and logistics.
- Act as a point of contact between executives and internal/external stakeholders.
- Handle confidential information with discretion and maintain professionalism at all times.
- Plan, coordinate, and support meetings, including preparing agendas and taking minutes.
- Track and follow up on outstanding tasks, deadlines, and priorities.
- Assist with project coordination, research, and data gathering as needed.
- Maintain organized filing systems (digital and physical).
- Support general office administration and process improvements.
Qualifications
- Post-secondary education in Business Administration, Office Administration, Communications, or related field (preferred but not mandatory).
- Proven experience supporting executives or senior leadership.
- Strong proficiency in productivity tools (Google Workspace or Microsoft Office).
- Excellent written and verbal communication skills.
- High attention to detail and strong time-management skills.
- Ability to multitask and work under pressure with tight deadlines.
- Professional demeanor and strong interpersonal skills.
Preferred Skills
- Experience with project management or coordination.
