About The Role The Executive Administrative Assistant role at Nationwide is a vital position that supports senior leadership within the Legal and Enterprise Governance teams. This role involves managing complex schedules, coordinating meetings and travel arrangements, handling legal documentation, and supporting various administrative functions to ensure seamless operations. The successful candidate will serve as a primary point of contact for internal and external stakeholders, providing high-level administrative support to two Vice Presidents and their teams. This position requires a proactive, detail-oriented individual who can adapt to a fast-paced environment, prioritize tasks effectively, and maintain confidentiality at all times. The Executive Admin Assistant will also contribute to process improvements and support special projects, making a significant impact on the efficiency and effectiveness of the legal teams.
Qualifications
- High school diploma or equivalent; vocational or technical business school studies preferred
- Six or more years of related administrative assistant experience, preferably within a corporate environment
- Professional certification such as Certified Administrative Professional (CAP) or Certified World Class Assistant (CWCA) is a plus
- Proficiency in MS Office Suite (Teams, Outlook, Word, Excel, PowerPoint, Planner)
- Strong organizational and time management skills
- Excellent interpersonal and communication skills
- Ability to handle confidential information with discretion
- Experience coordinating complex travel arrangements and expense reports
- Knowledge of company policies, organizational structure, and office practices
- Ability to build and maintain effective professional relationships
- Strong problem-solving skills and attention to detail
Responsibilities
- Manage and coordinate calendars for senior executives, including scheduling meetings, appointments, and events
- Organize and facilitate meetings, including logistics, preparing materials, and follow-up actions
- Coordinate travel arrangements, including booking flights, accommodations, and transportation, and managing related expense reports
- Support legal documentation processes such as filing, tracking, and managing legal and regulatory documents
- Assist with vendor communications, conference bookings, and event planning for executives
- Handle office supplies management and support team-building and volunteer events
- Monitor departmental expenses, process invoices, and ensure accurate and timely expense reporting
- Serve as the first point of contact for internal and external inquiries, providing professional and timely responses
- Assist with process improvement initiatives to enhance operational efficiency
- Lead or support special projects as assigned by leadership
- Provide mentorship or guidance to other administrative staff when needed
