About The Role The HR Assistant at Orvix Engineering plays a vital role in supporting the Human Resources team by managing a wide range of administrative and operational HR functions. This position is focused on ensuring smooth recruitment processes, accurate employee records management, compliance with legal standards, and fostering employee engagement initiatives. The role requires a proactive approach, attention to detail, and excellent organizational skills to handle sensitive information and facilitate effective HR operations. This is a full-time, remote position available exclusively to candidates within the United States, with a schedule from Monday to Friday, offering competitive hourly compensation and comprehensive benefits.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred)
  • Professional HR certification such as SHRM-CP or PHR (a plus, not mandatory)
  • Minimum of 1 year of experience in an HR assistant or administrative role (preferred)
  • Experience working in a corporate or engineering environment (preferred)
  • Familiarity with HR software systems including HRIS, payroll systems, and ATS (preferred)
  • Strong communication skills, both verbal and written
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to handle confidential information with discretion and professionalism
  • Excellent organizational, attention to detail, and time management skills
  • Ability to work independently and collaboratively in a fast-paced environment

Responsibilities

  • Assist with job postings, writing job descriptions, and supporting recruitment activities
  • Coordinate interview schedules, maintain interview records, and assist in candidate pre-screening
  • Support onboarding processes, including preparing new hire documentation and facilitating orientation sessions
  • Maintain and update employee records in compliance with company policies and legal requirements
  • Ensure accurate documentation of employee lifecycle events such as promotions, transfers, and terminations
  • Handle confidential employee information with utmost discretion and professionalism
  • Assist in payroll preparation by ensuring employee data accuracy and timely processing
  • Respond to employee inquiries related to payroll and benefits programs
  • Administer employee benefits programs including health insurance, retirement plans, and leave policies
  • Ensure HR practices adhere to federal, state, and local labor laws and regulations
  • Support the preparation of HR reports such as turnover rates, engagement surveys, and attendance records
  • Assist in HR audits, ensuring compliance with internal and external standards
  • Support employee relations efforts by addressing grievances and facilitating resolution
  • Help organize company events, training sessions, and employee recognition programs
  • Maintain training records and track employee progress in development initiatives
  • Provide administrative support including managing HR filing systems, drafting communications, and handling queries
  • Coordinate meetings, prepare HR materials, and support overall HR department operations
  • Assist in health, safety, and well-being initiatives to promote a safe and healthy work environment
