Overview
We’re seeking a highly organized and proactive Executive Assistant to provide top-level support to the CEO and COO. This person will handle a wide range of administrative and operational tasks, often with minimal supervision. The ideal candidate thrives in a fast-paced, high-pressure environment and knows how to balance priorities, anticipate needs, and maintain professionalism and confidentiality at all times. Bilingual in English/Spanish is preferred.
Key Responsibilities
- Manage complex calendars, appointments, and travel logistics for the CEO and COO.
- Prepare and process expense reports, draft correspondence (including confidential materials), and maintain digital and physical filing systems.
- Screen calls, emails, and visitors with professionalism and discretion.
- Coordinate executive meetings, offsites, and company events — including scheduling, agendas, and materials.
- Anticipate needs and proactively align resources, information, and people to support executive priorities.
- Handle special projects and critical deliverables by defining objectives, managing timelines, and ensuring follow-through.
- Maintain and track key external relationships and communication with stakeholders, partners, and board members.
- Support board activities and documentation with a high level of accuracy and confidentiality.
- Identify opportunities to streamline workflows and improve administrative processes.
- Represent the executive office with professionalism in all internal and external interactions.
Qualifications
- Bachelor’s degree required.
- Minimum 3 years of experience supporting C-level executives in a fast-paced environment.
- Startup or high-growth company experience preferred.
- Exceptional written and verbal communication skills.
- Proven ability to manage multiple priorities and deadlines with strong attention to detail.
- High level of discretion and professionalism when handling confidential information.
- Strong sense of ownership, accountability, and initiative — able to operate independently and anticipate needs.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and mobile productivity tools.
- Collaborative team player with a positive, solutions-focused attitude.
