Personal Executive Assistant (supporting 3 families)
Overview We are seeking a Personal Executive Assistant to support 3 families. You’ll work closely with these families, providing essential support across a variety of domains, from calendar coordination and errand running to home logistics and travel planning.
This position is ideal for someone with exceptional organizational and multi-tasking skills, who thrives in a dynamic environment and is committed to ensuring the smooth functioning of three households.
Schedule: 40+ hours a week: including at least one weekend day. You will be working in McLean, VA in a private home(s).
In This Role, You Will Responsibilities include, but are not limited to:
Scheduling & Family Calendars
- Manage appointments, school events, sports schedules, and social activities
- Coordinate across family members and external providers (doctors, babysitters, tutors, etc.)
Home & Vendor Management
- Liaise with housekeepers, landscapers, contractors, and other household vendors
- Coordinate and oversee maintenance, repairs, deliveries, and seasonal tasks
Children’s Activities
- Handle sign-ups, reminders, and logistics for music lessons, sports, and extracurriculars
- Assist with carpool coordination and schedule tracking
- Assist with coordination of childcare with outside sitters
Health & Wellness
- Book medical, dental, and personal training appointments
Travel & Holidays
- Plan travel itineraries, book flights/hotels, prepare packing lists
- Assist with passports, visas, and holiday card coordination
Event Support
- Assist with onsite events by supporting onsite staff team
Dining & Entertainment
- Reserve restaurants, theater tickets, or curated outings for the family
Special Reminders & Gifting
- Keep track of birthdays, anniversaries, and milestone dates
- Source thoughtful, personalized gifts
Here’s What You Need
- 2+ years of experience as executive assistant, personal assistant, household manager, or comparable role
- Live a commutable distance to McLean, VA. You will be working in McLean in a private home(s).
- Own a car and have drivers license
- You are in the top 10% of being detail-oriented and organized
- You are never late to things
- Experience working with high-expectation clients or families a strong plus
- Comfortable using digital tools (Google Calendar, Google Docs, Google Sheets, ChatGPT,
- shared task lists, etc.)
- Discreet, trustworthy, and naturally service-minded
