About the Role
As our Recruiting Coordinator , you’ll be the operational heartbeat of a high-velocity recruiting function. You’ll manage scheduling and candidate logistics across multiple functions, ensuring a smooth and exceptional experience for every candidate. This role requires speed, precision, and composure — and is perfect for someone who thrives in dynamic, startup environments where priorities move fast and autonomy is the norm.
This is a high-impact, in-office role that will directly support our ability to scale a world-class team during a period of rapid growth.
What You’ll Do

Coordinate high-volume interview scheduling across time zones and functions (GTM, Corporate, and Technical)

Manage candidate communications to ensure timely, personalized, and white-glove experiences

Partner with recruiters, hiring managers, and executives to align calendars and streamline interview logistics

Greet and host candidates during on-site interviews, owning the in-person candidate experience end-to-end

Maintain accurate data and documentation within our Applicant Tracking System (ATS)

Manage and optimize job postings across platforms for brand and formatting consistency

Identify and suggest process improvements that make coordination more efficient and scalable

Handle confidential information with professionalism, discretion, and sound judgment
What You Bring
Must Have:

5 years of recruiting coordination experience in a high-growth startup or similarly fast-paced environment

Proven ability to “run the desk” independently — anticipates needs, connects dots, and executes with minimal direction

Highly flexible and responsive — comfortable working extended hours, evenings, or weekends to support rapid hiring cycles

Calm under pressure and thrives in ambiguity; adapts quickly to shifting priorities and tight deadlines

Expert at complex, high-volume scheduling across multiple time zones and stakeholders

Strong communicator — clear, concise, and professional with both internal teams and candidates

Exceptional organizational skills with near-zero error tolerance and a proactive approach to problem-solving

High EQ and executive presence — comfortable interacting with C-level leaders and senior stakeholders

Flawless attention to detail; never drops the ball on follow-ups or logistics

Proficiency with recruiting tools (e.g., Ashby, Greenhouse, or Lever) and productivity suites (Google Workspace, Slack, Zoom, etc.)

Full-time onsite availability (5 days/week in Palo Alto)

Experience supporting GTM, G&A, and technical recruiting functions
